Position Summary:

We are seeking a proactive and organized Client and Administrative Support to join our growing team. This dual-role position is crucial in supporting our workforce and ensuring positive client relationships. The ideal candidate will manage key HR functions and serve as a liaison between the agency, clients, and their families to deliver exceptional service and support.

Key Responsibilities:
Administrative Support:

Oversee recruitment, onboarding, and training processes for all new staff members. Ensure staff compliance with state and DDD requirements, including background checks, certifications, and mandatory trainings. Maintain employee records in electronic systems (e.g., Dropbox, HHA Exchange). Process and compile staff timesheets for payroll. Address employee concerns and provide conflict resolution to maintain a positive work environment. Develop and implement HR policies and procedures to enhance organizational efficiency. Some travel required from the office to client’s residence for intakes.

Client Relationship Support:

Serve as the primary contact for families and clients, addressing inquiries, concerns, and feedback promptly and professionally. Coordinate client intake processes, including documentation, service agreements, and ISP reviews. Travel required. Schedule staff for client services in accordance with individualized care plans and client preferences. Monitor client satisfaction and ensure services align with their goals and needs. Assist with scheduling, implementing, and facilitating weekend respite for DDD clients. Collaborate with internal teams to resolve service issues and implement improvements.

Qualifications:
Education:

Bachelor’s degree in Human Resources, Social Work, Psychology, Business Administration, or a related field (Master’s degree preferred).

Experience:

3+ years of experience in HR or client management, preferably in the developmental disabilities field. Strong knowledge of DDD policies, HR practices, and client care management. 1-2 years of DDD field experience is preferred. 1-2 years of Support Coordination experience is preferred. Bilingual Preferred (Spanish).

Skills:

Exceptional organizational and multitasking abilities. Strong interpersonal and communication skills. Proficiency in electronic record-keeping systems (e.g., Indeed, Dropbox, Google Drive, HHA Exchange). Ability to work collaboratively with diverse teams and clients.
