Body Shop Administrator Job Overview:

We are seeking a detail-oriented and organized Body Shop Administrator to join our team. This role is essential to the smooth day-to-day operations of our auto body repair shop. The ideal candidate will be responsible for coordinating appointments, managing customer communications, processing insurance claims, and performing a variety of administrative tasks that support our technicians and overall shop workflow.

Core Responsibilities:

Scheduling and Appointment Management:

Efficiently schedule vehicle repair and maintenance appointments. Coordinate with technicians to optimize shop productivity and reduce customer wait times. 2.

Customer Interaction:

Respond to customer inquiries in-person, over the phone, and via email. Provide timely updates on repair progress and handle customer concerns professionally. 3.

Administrative Support:

Prepare and manage paperwork, including repair orders, work authorizations, and invoices. Maintain accurate records for all shop-related activities. 4.

Insurance Claims Processing:

Work closely with insurance adjusters and companies to submit required documentation and expedite claims. 5.

Financial Management:

Assist with billing and invoicing processes. Help manage accounts receivable and generate financial reports as needed. 6.

Parts and Inventory Tracking:

Support parts ordering and inventory control. Track vehicle progress throughout the repair cycle and ensure timely completion. 7.

Internal Communication:

Facilitate effective communication between the body shop team, parts department, and front office staff.

Key Skills and Qualifications:

Strong organizational and multitasking skills. Excellent verbal and written communication abilities. Proven customer service experience, preferably in an automotive or service environment. Familiarity with auto body repair processes and terminology. Proficient with scheduling software, shop management systems, and Microsoft Office Suite. Ability to work efficiently in a fast-paced, high-volume environment. Additional Responsibilities (as needed): Greet walk-in customers and visitors. Follow up on parts deliveries and back-ordered items.
