Client Service Associate Responsibilities Summary:
As an administrative professional, you will provide dedicated support to our Financial Advisor team. Your role will involve ensuring the smooth operation of our services by being highly organized and detail-oriented. You will need to be proactive and resourceful, utilizing your exceptional communication skills to contribute to the success of our clients and enhance the overall efficacy of our financial advisory services.
Duties/Responsibilities:
Client Relationship Management:
- Serve as a point of contact for clients. Field incoming inquiries, and at times scheduling appointments.
- Maintain client records, ensuring accuracy and confidentiality.
- Coordinate client events and meetings, including logistics and follow-up communications.
Administrative Support:
- Prepare and organize documents, reports, and Client presentations.
- At times attend certain Client Appointments, typing summary of topics covered, coordinate any promised follow up tasks.
- Handle incoming correspondence, including emails, phone calls, and mail.
- Other duties as assigned.
Account Management:
- Assist with client account management, including opening, closing, and transferring accounts.
- Process client transactions, ensuring accuracy and compliance with regulatory requirements.
- Coordinate with financial institutions, professional partners, and vendors as needed.
Research and Analysis:
- Compile data and supporting documentation to prepare reports and presentations for client interactions.
- Marketing Initiatives and helping to facilitate Client Events.
Compliance and Regulatory Support:
- Maintain up-to-date knowledge of industry regulations and compliance standards.
- Ensure all client documentation and processes comply with regulatory requirements.
- Assist with compliance audits and reporting as needed.
Required Skills/Abilities:
- Strong organizational skills with the ability to prioritize tasks and manage time effectively with proven ability to meet deadlines.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Knowledge of financial products and services is preferred.
- Attention to detail and a commitment to maintaining confidentiality.
- Proactive team member who thrives in an autonomous environment and takes initiative to see tasks through to completion. Education and Experience
- High school diploma required; Bachelor’s degree in business administration, finance, or a related field is preferred.
- Previous experience in the financial services industry preferred, not required.
- FINRA licensed preferred, not required.
