Job :
The Customer Service Ordering Specialist is responsible for overseeing and enhancing the daily operations of the customer service function in support of the broader sales organization. This role plays a key part in developing, implementing, and refining processes, procedures, and customer engagement strategies to elevate service delivery and ensure alignment with company standards. By driving operational excellence and fostering strong cross-functional collaboration, the Customer Service Ordering Specialist will help to strengthen customer loyalty and sustain long-term client relationships. This Customer Service Ordering Specialist will serve as the primary internal liaison for assigned customer accounts, and will partner closely with the respective sales team, ensuring seamless communication, proactive issue resolution, and consistent execution of customer requirements.

Responsibilities Conduct detailed reviews of customer contracts to ensure alignment with internal capabilities and compliance standards. Collaborate closely with Applications Engineers to validate and interpret customer technical documentation, including drawings, revision levels, and cross-referenced part numbers. Develop, implement, and manage efficient order processing solutions across multiple channels such as Electronic Data Interchange (EDI), customer procurement portals, blanket purchase orders, scheduled releases, Kanban systems, safety stock programs, and bonded warehouse arrangements. Analyze and reconcile customer pricing in coordination with the Sales team, proactively identifying and resolving discrepancies. Serve as the primary internal liaison for Sales staff, supporting customer-specific requirements, special initiatives, and product or program changes. Partner with manufacturing and operations teams to facilitate seamless product transitions and ensure order fulfillment processes align with production schedules. Manage the preparation and execution of international trade documentation, including Letters of Credit and Sight Drafts, ensuring compliance with customer and regulatory requirements. Support complex production expedite requests in coordination with Supply Chain and manufacturing sites, based on business priorities. Generate and maintain customer-specific performance reports and compliance documentation as required. Provide backup support to the Customer Service team to ensure continuity of service and responsiveness. Administer customer return authorizations (RMA), coordinating cross-functionally with Accounting and other departments to resolve warranty and return matters effectively. Investigate and address customer performance metrics, such as delivery scores, and drive continuous improvement initiatives to enhance customer satisfaction. Collaborate with cross-functional teams including Sales, Purchasing, and Manufacturing to support the launch of new projects and manage changes to existing product lines. Maintain and update customer records and documentation to ensure data integrity and accurate reporting. Perform additional responsibilities and strategic support activities as assigned, contributing to overall department and organizational objectives. Major Challenges Serve as a key cross-functional liaison, proactively engaging with Supply Chain, Engineering, Manufacturing, Quality Assurance, Shipping/Receiving, and Accounting to deliver high-level support that consistently exceeds customer expectations and upholds Curtis’ standards of service excellence. Participate in periodic travel (up to 1-2 trips annually) to strategic customer accounts, independently or in collaboration with Sales, to strengthen relationships, support account initiatives, and address complex customer needs. Act as a dedicated advocate for the customer experience, taking ownership of issue resolution and continuously identifying opportunities to enhance customer satisfaction and operational efficiency.
Requirements:
Education Associate’s degree required Bachelor’s degree preferred Experience 3 to 5 years’ experience in order processing , preferably in a manufacturing/engineering customer service environment. Experience in a customer facing/interacting role in a manufacturing environment preferred. Enterprise Resource Planning (ERP) system experience, Infor Syteline a plus. Skills Proven ability to serve as a strong advocate for both the customer and the organization, balancing customer satisfaction with company objectives. Advanced analytical and problem-solving skills, with the ability to assess complex issues, identify root causes, and implement effective solutions with precision and attention to detail. Exceptional interpersonal skills, with the ability to build productive relationships across all levels of the organization and with external stakeholders. Proficient in Microsoft Office Suite; advanced Excel capabilities highly preferred for data analysis and reporting. Excellent verbal and written communication skills, with the ability to facilitate discussions, convey technical and operational information clearly, and ensure timely follow-up. Self-directed and accountable, with a demonstrated track record of successfully executing responsibilities with minimal supervision. Skilled in managing and resolving escalated customer inquiries and concerns with professionalism and diplomacy. Strong organizational skills with the ability to manage multiple priorities and deadlines in a dynamic environment. Maintains a positive, solutions-oriented, and professional demeanor in all interactions, fostering trust and credibility.
