Role:

The Customer Service Representative plays a crucial role in ensuring that clients receive exceptional service and support throughout their interactions with Alpha Veterinary Services. This position is responsible for addressing customer inquiries, resolving issues, and providing information about our services in the Veterinary industry. The representative will act as a liaison between clients and various departments, ensuring that all customer needs are met promptly and efficiently. By maintaining a customer-focused attitude, the representative will contribute to building long-lasting relationships with clients, ultimately enhancing customer satisfaction and loyalty. The end result of this role is to create a positive experience for customers, leading to repeat business and a strong reputation for our company in the market.

Minimum Qualifications:

High school diploma or equivalent. Proven experience in a customer service role, preferably in the Veterinary industry.

Preferred Qualifications:

Experience with Google Chrome and Veterinary PIMs. Familiarity with billing processes and procedures.

Responsibilities:

1. Front Desk & Client Interaction Greeting clients (in person and on the phone) Answering phone calls , emails, and online inquiries Scheduling appointments and sending reminders Checking clients in and out Updating client and patient records in the management system Handling intake forms and medical history 2. Communication & Education Explaining services, procedures, and costs Providing post-visit instructions Following up on appointments , treatments, or lab results Educating clients on preventative care (e.g., vaccines, flea/tick, dental) 3. Administrative Duties Processing payments and managing invoices Managing inventory of office and lobby supplies (e.g., forms, leashes) Filing and organizing medical records and documentation Maintaining cleanliness of front office/lobby areas 4. Support for Clinical Team Preparing exam rooms (sometimes helping techs with prep work) Relaying messages between clients and veterinary staff Assisting in emergency situations (e.g., calming clients, prepping info) 5. Miscellaneous Tasks Promoting clinic services and wellness plans Coordinating prescription refills (checking with vets, contacting clients) Managing social media or reviews , if part of office duties Monitoring and responding to appointment cancellations/no-shows

Skills:

The required skills are essential for daily operations in this role. Proficiency in Google Chrome and veterinary PIMs allows the representative to efficiently manage customer data and inquiries. An action-oriented mindset is crucial for addressing customer needs promptly, while a strong customer service attitude ensures that interactions are positive and productive.
