Job Summary:

The Customer Service Representative & Administrative Support position provides customer service assistance to our customers, as well as spending a portion of time handling reception and office administrative responsibilities. The customer service responsibilities will focus on for Flexo (labels) and promotional products. All work is to be done with a high attention to detail and in a friendly and professional manner. A key focus of this position is ensuring the customer’s orders are monitored through the production process and communication with the customer occurs to keep them informed of their order’s status.

Essential Responsibilities:

Customer Service

  • Monitors all jobs through the production schedule, following up at every step as needed to ensure the customer gets the product in the time they expect
  • Gather information to provide estimating so a quote can be created
  • Responsible for sending quotes from estimating to the client
  • Obtain a PO or approval from the customer and process the order in the system ensuring all details are correct
  • Process POs for re-orders, ensuring new quotes are received
  • Contact customers via various methods, typically email, to answer questions or follow up on orders
  • Create a file folder for each Job, retrieve folders for re-print orders
  • Take the job folder to the appropriate department depending on the needs of the order: warehouse, production, etc.
  • Once order is shipped, check the system ensuring details are completed and the final price is on the packing list. Provide the completed packing list and PO to person responsible for double checking the pricing. File the checked PO into the appropriate file. Office Administration
  • Answer main company phones within 2 rings, in a professional and helpful manner. Respond to emails and other correspondence in a timely manner.
  • Assist walk-in visitors with information and guidance
  • Process incoming and outgoing mail
  • Work closely with the leadership and managers to provide administrative support as needed
  • Process credit card payments as needed. This may result from phone calls, emails or walk-in needs.
  • Complete office and company filing as needed
  • Maintain the conference room and break room ensuring that coffee and supplies are properly stocked, old food is removed from refrigerators, and the areas are generally tidy and represent the organization well.
  • Maintain office supplies, placing orders as necessary
Other Responsibilities:
  • Attend weekly and periodic meetings
Supervisory Responsibility:
    None Qualifications:
    • Prior experience in customer service preferred
    • General knowledge of computer systems, keyboarding, and basic computer skills
    • Microsoft Office programs, specifically
    Excel and Outlook Competencies:
    • Self-starter ensuring daily requirements are completed
    • Strong customer service approach, aiming to satisfy the customer to the highest level
    • Strong verbal and written communication skills
    • Ability to work independently as well as a team
    • High level of attention to detail, follow up
    • Ability to shift from task to task and deal with frequent interruptions, returning to the task at hand competently

    Working Conditions:
    • Office environment, environmentally controlled
    • Day is mixed with sitting at a desk and walking around the facility

    From $15.00 per hour Expected hours: 40 per week
