Night Audit/Guest Service Representative Full Time 3.2 3.2 out of 5 stars Goodlettsville, TN 37072 At the Candlewood Suites, we look for people who are down to earth and friendly, who are considerate and reliable, and who are always on hand when guests need us. We are looking for a Night Auditor a few nights a week who is also able to work the front desk a few afternoons per week to join our friendly and reliable team.
Overview of Position:
The Night Auditor is responsible for the overall operation of the hotel during the late-evening hours. This position is expected to operate the hotel in accordance with standard policies and procedures. To perform this job successfully, an individual must be flexible and able to perform each essential duty satisfactorily.
Responsibilities:
Checks Guest Service Agent’s accounting records for accuracy each evening Summarize and compile information for the hotel’s financial records daily Prepare a summary of cash, check, and credit card activities reflecting the hotel’s financial performance for that day. Post room charges and room taxes to guest accounts Verify all account postings and balance made during the day shift Prepare end-of-day shift Run end-of-day process in property management software (PMS) Understand principals of auditing, balancing, and closing of accounts Register guests and assign rooms accommodating special request whenever possible Assist in pre-registration and blocking of rooms for reservations Thoroughly understand and adhere to proper credit, check-cashing, and cash-handling policies and procedures Understand room status and room status tracking Know room locations, types of rooms available, and room rates Use promotional selling techniques to sell rooms and to promote other services of the hotel Coordinate room status updates with the housekeeping department by notifying housekeeping of all check-outs, late check-outs, early check-ins, special requests, and part-day rooms Possess a working knowledge of the reservations department. Take same day reservations and future reservations when necessary Know the cancelation procedures File room keys Know how to use front office equipment Process guest check-outs Complete laundry to prepare for the following day Post and file all charges to guest, mater, and city ledgers accounts Follow procedures for issuing and closing safe deposit boxes Use proper telephone etiquette Use proper mail, package, and message handling procedures Read and initial the pass-on log and bulletin board daily. Must know of daily activities and meetings taking place in the hotel Attend meetings as required by management Coordinate guestroom maintenance work with the maintenance department Report any unusual occurrences or request to the manager or assistant manager Knows all safety and emergency procedures Know accident prevention policies Maintain the cleanliness and neatness of the front desk area Qualifications Customer Service experience Ability to work Evenings, Weekends, and Holidays Ability to stand for 8 hours (accommodations can be made for all ADA qualified candidates) Availability to work each day of the week Physical Requirements Bending/kneeling – repeated bending and kneeling Mobility – must be able to reach all areas of hotel to assist clients. Prolonged standing. Occasional carrying and lifting of files and office items up to 25 lbs. Material/Equipment Used Standard office equipment including but not limited to: computer, telephone, copier, cash register, PC, and fax machine.
