Adhere to the organization’s policies and procedures. Comply with all current government regulations and professional standards respecting patient care. Responsibilities Collect and verify patient demographic, insurance, and clinical information with accuracy and maintaining EMR and logs. Explain the patient care process, including what to expect during tests and visits. Provide a warm and professional experience during phone, email, and in-person interactions. Schedule appointments for testing and visits. Ensure appointment reminders and pre-test instructions are communicated effectively for process expectations. Ensure phones are handled appropriately including inbound calls, voicemails, and faxes, according to protocol. Monitor the appointment calendar to manage open slots and optimize clinic flow.

Back-up support for referral management:

logging incoming referrals, coordinating with providers, and verifying patient information. Secondary support for checking insurance eligibility and obtaining prior authorizations. Maintaining accurate records for all engagement with patients, referral sources, and vendors within EMR. Prepare and send medical records where appropriate, ensuring compliance with HIPAA regulations. Scanning of paper charts and uploading into EMR system. Perform light cleaning of patient-facing areas Experience & Qualifications include: High school diploma or equivalent; additional education or certification in healthcare administration is a plus. Proven experience in a medical office or healthcare setting, with a focus on patient coordination in a patient-facing role. Strong understanding of medical terminology, insurance processes, and healthcare regulations. Proficiency in using electronic health record (EHR) systems and other relevant software. Prior billing or claims experience is a plus, but not mandatory. Courteous customer service skills are essential. Ability to handle sensitive information with confidentiality and professionalism. Excellent communication and interpersonal skills; must love helping people. Exceptional organizational, problem-solving, and time management skill with attention to detail. Capable of working independently and as part of a healthcare team. Ability to multitask and prioritize in a fast-paced environment with accountability. Able to manage multiple priorities and close the loop when interrupted, even if multiple instances. Demonstrate a high degree of compassion and energy whilst maintaining a positive and professional outlook. Physical requirements While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms, and talk and hear.
