JOB SUMMARY
Responsible to assist the manager with day to day operations for the Groups, Charters and Incentives for all brands under the NCLH umbrella. This individual will serve as the secondary point of contact in assuring that all destination needs are up to date for Groups, Charters and Incentives.
DUTIES & RESPONSIBILITIES
Assist in creating policies and procedures designed to maximize incremental group shorex revenue without diluting existing revenue base.
Assist and liaise with additional land and hotel program needs for the Groups, Charters and Incentives.
Manage the Group and Charters Mailbox for all three brands and reply to inquiries & requests in a timely manner.
Responsible for planning and coordinating any requested shore excursions, private and/or custom tours and transfers for groups, full ship charters and special groups within the charter. Coordinate with local tour operators for these requests and send proposal to the client for confirmation in a timely manner. Once confirmed by the client, finalize the group/charter program and send all relevant information to the shipboard team for flawless execution of tours across all three brands.
Coordinate with Destination Services Regional Managers and Local Tour Operators for group space and tour specifics across all three brands. Cross reference any itinerary changes that may affect any prospective or confirmed groups. Advise local tour operators of any updates and provide assistance with any information required or changes to these affected groups.
Create a Group Follow Up (GFU) form and/or Opportunity for each new group request, keep up to date with all pertinent group info and updated group status, along with updated group invoice, working copy with all updated costs & pricing as well as name list.
Make sure group space is blocked and/or confirmed as additional allotment for all group requests for all three brands. Create group inventory block in coordination with Destination Services Data Systems Team accordingly.
Provide full listing, pricing and availability of all existing tours to Charter Team for full ship charter guests and for special groups within the full ship charter across all three brands.
Coordinate with Accounting Dept. in regard to payments, payment status, refunds, commissions, wire transfers etc. to make sure all payments are approved and completed in a timely manner.
Send Group Information Sheet (GIS) to the shipboard team in a timely manner with all correct and updated information including the GFU, name list, costs & selling price, tour operator info, invoice and payment information for groups & charters across all three brands.
Answer any inquiries, questions and/or issues received from the shipboard team in a timely manner with a priority & focus on service failure prevention and recovery for all three brands.
Assist in identifying newly added groups and contact Group Leaders/Travel Agents to solicit business for all three brands.
Support Mesa Call Center to help facilitate pre-bookings on sailings behind goal.
Play a significant role in long-term planning, including an initiative geared toward operational excellence.
Perform other job-related functions as assigned.
QUALIFICATIONS DEGREE TYPE
High School Diploma
EXPERIENCE
Minimum of 1 year experience in Shore Excursion environment. Travel and/or Hospitality industry experience a Plus.
COMPETENCIES/SKILLS
Excellent customer service skills.
Detail oriented, well organized and self-motivated individual.
Must have excellent customer service and strong written and verbal communication skills.
Team player with the ability to multi-task and work in a fast paced, deadline driven environment.
Competent with NVS, MXP, SeaWare & Seaweb systems, Quickbase, Salesforce and Recall On Base Application.
Strong knowledge of Microsoft Office including Outlook, Word, PowerPoint and Excel.
