Assist in the development, management & delivery of local marketing tactics.
Key Responsibilities:
Administrative & Office Operations Manage daily office functions, including scheduling meetings, organizing documents, and coordinating with vendors and partners. Maintain an organized digital and physical office space, ensuring files, equipment, and supplies are in order. Support internal communications, helping align production, creative, and post-production teams. Assist with travel arrangements, shoot logistics, and call sheets as needed. Schedule jobs to meet the availability of customer and technicians. Manage internal calendars and track important production deadlines. Keep the studio and office organized and presentable. Lead Funnel Management & Communication Monitor and capture all incoming leads from website forms, social media, emails, referrals, phone,and advertising funnels. As soon as possible, convert leads to appointments by scheduling appointments for the sales team. Log and track new leads in the CRM system (e.g., Bitrix24) accurately and in real-time. Assign leads to the appropriate team member (sales, production, or creative director) and ensure timely follow-up. Create a daily or weekly lead report summarizing source, type, and current status. Collaborate with the sales/marketing team to refine funnel workflows and communication strategies. Follow up on open proposals as needed. Lead Reactivation & Follow-Up Identify and segment inactive, cold, or lost leads within the CRM. Develop and execute reactivation campaigns (emails, phone calls, follow-ups) to re-engage old clients and prospects. Track response rates and conversions from reactivation efforts and report results to the leadership team. Maintain detailed notes and communication history in the CRM to support future outreach and lead nurturing. Client Communication & Support Serve as the first point of contact for client inquiries via phone, email, or contact forms. Schedule client discovery calls, production meetings, and feedback sessions. Send project confirmations, onboarding documents, and status updates to clients. Ensure a professional and friendly tone in all communication, reflecting the brand values of Fusion Bros. Studios. Resolve customer conflicts. Reporting & Support Tasks Generate weekly and monthly reports on lead activity, conversion rates, and reactivation outcomes. Support bookkeeping tasks such as managing invoices, payments, and expense tracking. Help develop SOPs for administrative, sales, and communication processes. Expected Results

Qualifications:
5+ years of experience in office management, sales support, or client relations (experience in a creative or production setting is a plus) Strong organizational, time management, and multitasking skills Excellent written and verbal communication skills Proficiency with CRM software (e.g., Bitrix24, HubSpot, or similar) Comfortable with Google Workspace, Microsoft Office, and task/project management tools Self-starter with a high attention to detail and ability to work independently A collaborative mindset and a genuine interest in video production, storytelling, and media

$45,000.00 – $50,000.00 per year
