Seasonal Records Inventory and Archival Assistant Reports To:
Business Office Qualifications:

High school diploma or equivalent required. Strong attention to detail, especially when handling and classifying complex or sensitive information. Proven ability to maintain confidentiality and discretion with protected records. Comfort working independently and performing repetitive tasks with minimal supervision. Familiarity with basic records management principles is a plus (training will be provided). Ability to lift and move file boxes (up to 30 lbs) with appropriate equipment and support.

General Description:

The Seasonal Records Inventory and Archival Assistant will support a one-time initiative to review, sort, and process decades-old stored files and materials across various departments, including Human Resources and Special Education. These files have accumulated over many years and were stored without formal cataloging or retention review. The goal of this temporary role is to bring order to these materials by identifying, inventorying, and preparing them for retention, secure destruction, or long-term archiving. This is a project-specific role designed to address a long-standing backlog of records that are beyond the scope of day-to-day school operations. The position requires a high level of discretion, independence, and meticulous attention to detail.

Primary Responsibilities:

Carefully open, inspect, and assess stored files and boxes, some of which may be damaged or degraded due to age. Categorize contents (e.g., HR records, Special Education documents, outdated materials, non-records) according to predefined retention categories. Log and track materials for shredding, long-term storage, or digitization using district-provided guidance. Follow all district protocols regarding the handling of confidential and sensitive information. Ensure proper chain-of-custody documentation for files recommended for destruction. Communicate regularly with the Business Administrator or designee regarding progress, findings, and emerging needs. Safely move and re-box physical files as necessary for storage or pickup.

Terms of Employment:

Temporary, part-time, project specific. Hours TBD. This is a temporary records archival project. The scope is limited to materials that pre-date the current school year and require specialized treatment to meet compliance, legal, and operational standards.

Salary:

$25/hr

Evaluation:

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of support services.
