Job Description:
Herkimer College is seeking qualified applicants for an Administrative Assistant to the Dean of Students/Director of Athletics. This position provides administrative support and assistance to the Offices of the Dean of Students/Director of Athletics and Director of Campus Safety (DCS).
Major responsibilities include:
a. Prepares any needed written correspondence for the DOS through the use of Microsoft Word and Microsoft Outlook (e-mail) and Microsoft Teams. b. Initiates purchases for DOS office operations and prepares purchase requisitions. c. Tracks health immunization compliance for all students attending the College, and inputs the data within Banner as needed. Maintains health office files and provides archival records when necessary. d. Coordinates, maintains and monitors faculty outreach where necessary for DOS/DOA, General’s Care Team, Campus Safety and Health Office. e. Works in conjunction with DOS to prepare annual budget information from functional areas within Student Services and prepares budget book for DOS. f. Assists the DOS and other college administrators in master schedule development for College. g. Assists students, parents, and faculty and staff with FERPA regulations. Monitors FERPA permission for students within the Banner system. h. Coordinates revisions for the Student Handbook and the Student Code of Conduct as needed throughout the academic year. Must be familiar and knowledgeable with all regulations and policies within the Student Handbook. i. Must become familiar with the terms and conditions of the CSEA contract and the Professional Association contract. j. Helps coordinate Administrative Judicial Hearings and Judicial Review Board Hearings for the DCS. Assists in maintaining judicial data; monitors student sanctions for completion via Maxient and processes holds in Banner where necessary. Provides faculty/staff notification of hearing outcome(s) where necessary. k. Creates the confidential packets (police reports, eyewitness statements, etc.) for Student Judicial Review Board Hearings and Administrative Judicial Hearings for the DCS. l. Monitors and maintains DOS individual and department daily calendars, arranges meetings, and coordinates all travel requests. Assists Director of Campus Safety with the same as needed. m. Monitors and maintains DOS individual and department e-mail accounts. n. Manages all walk-in traffic and phone calls to the DOS and DCS offices, as well as the proper referral to other offices as appropriate. o. Processes/sorts incoming mail (including confidential) and prepares documents for DOS signature. p. Monitoring Campus Safety/Maintenance radio as needed. q. All other duties as assigned by the DOS and DCS.
Job Requirements:
Bachelor’s degree preferred. Earned Associate’s degree in Business or related field is required; 2-4 years clerical experience; strong computer skills, including Microsoft Office. Experience with Banner and Maxient software platforms preferred. Excellent communication and interpersonal skills. Must be able to maintain strict confidentiality in regards to all FERPA, HIPPA, criminal judicial, and Human Resource matters.
Additional Information:
Salary range: $36,000 – $54,000
