Position Description The Assessment Operations Specialist I is responsible for all activities related to the accurate and timely administration of all American Board of Anesthesiology (ABA) written examinations, the In-Training Examinations (ITE) and supports the preparation for the APPLIED exam. This position will report accurately and timely scores to examinees, by creating and organizing data files for merging and printing all mailings, after every written examination administration. Collaborating closely with other departments within the ABA, American Board of Medical Specialties (ABMS) Member Boards for co-sponsoring examinations and external vendors, this position will provide seamless support for exam delivery. This position will assist in supporting the work of the ABA’s Assessment Committee as they manage and monitor the design, delivery, and ongoing improvement of the ABA’s written examination system. Education Bachelor’s degree or equivalent years of experience and education required. Skills Ability to gather and report data related to the business functions. Attention to detail to achieve thoroughness and accuracy when accomplishing tasks. Ability to identify business needs and resources to improve processes and coordinate with other departments to achieve goals. Excellent written and oral communication skills; able to write clearly and concisely; able to speak clearly and professionally with colleagues, physicians, training programs and outside vendors. Demonstrate a commitment to service and continually exhibit a customer service culture. Demonstrate flexibility in rapidly changing conditions. Ability to assess priorities and to adjust work schedules appropriately to meet deadlines. Ability to manage and problem solve multiple priorities simultaneously. Ability to think independently and a curiosity to learn more. Experience Minimum of 2 years of work experience in an office or testing environment. Proficiency with Microsoft Excel and Word. Experience with SharePoint and/or CRM a plus. Project management experience is highly desirable. Experience with the Accreditation Council for Graduate Medical Education (ACGME) and American Board of Medical Specialties (ABMS) a plus. Specific Responsibilities Oversees the exam registration, scheduling, cancellation, refund, and result release, for written examinations and/or In-Training Exams (ITEs). Supports preparation for APPLIED exam delivery, including generating and proofing data and exam material. Supports APPLIED Exam delivery, including proctoring candidates and assisting examiners. Coordinates with other medical specialty boards regarding registration files, scheduling notifications, scoring files, and results dissemination for ABA-sponsored exams. Oversees the exam registration, scheduling, cancellation, refund, results release, and revenue recognition for subspecialty certifying examinations in Hospice & Palliative Medicine (HPM), Sleep Medicine (SM), Hospital Administration Leadership and Management (HALM), and Neurocritical Care Medicine (NCC), administered by other medical specialty boards. Creates, edits, and sends the Certificate file for Subspecialty Certifications. Assists IT with the scores processing procedure for each written exam administration. Acts as the point of contact for collaborating boards regarding the Longitudinal Assessment program. Performs other services as needed to ensure the successful written exam administration. Supports other initiatives of the Board as needed. Special Requirements Ability to be on call for off-hours exam administrations, including Saturdays and Sundays. Ability to sit for extended periods. Ability to lift up to 10 pounds on occasion. Must be able to work onsite in Raleigh, NC at least two days/week.
