SUMMARY STATEMENT

Under the supervision of the Seminars Director, this position supports the planning, production, and execution of live and online continuing legal education (CLE) seminars, as well as general administrative functions of the CLE Division.

RESPONSIBILITIES AND DUTIES

Administrative Duties Provide administrative support to the Seminars Director and program coordinators, as needed, to include duties as outlined in section 8 below. Serve as the main liaison between the CLE Division and satellite seminar locations. Duties include conducting site visits, securing venues, coordinating shipment of materials, resolving technical issues, managing catering, and processing related invoices and payments. Assist Marketing Manager with seminar surveys. Provide customer service support and assist in credit reporting for both live and online seminars, as needed. Serve as a back-up to the CLE Registrar, including processing registrations, processing payments, and responding to customer inquiries. Apply for and manage out-of-state CLE credit for selected live and webinar programs, ensuring timely submissions and accurate recordkeeping. Oversee CLE Division office equipment maintenance and recycling. Responsible for ordering and maintaining appropriate inventory of CLE Division supplies. Serve as the primary point of contact with CLE Division refreshment, office supply, and equipment vendors and office equipment repair contractors. Receive, review, and submit for payment all office-related invoices from vendors and repair contractors. Seminar Coordination Duties Coordinate select CLE programs assigned by the Seminars Director on an as-needed basis to include serving as the primary point of contact for course planners, moderators, and faculty members. Responsibilities include scheduling and facilitating planning meetings, collecting biographical information and other required materials, coordinating catering and audiovisual needs, collecting and formatting electronic handout materials. Act as the on-site representative for seminars, overseeing registration, supporting presenters and attendees, and ensuring compliance with MCLE regulations. Perform additional duties as assigned.

REQUIRED EDUCATION, EXPERIENCE AND SKILLS

Associate’s degree or high school diploma/equivalent with two years’ work experience; organized, detailed oriented and a team player; ability to interact with volunteers, customers, and the public; excellent customer service and follow-through skills; proficiency in word processing and data entry; excellent grammar and communication skills; ability to work with minimal direct supervision; ability to perform at a rapid pace with minimal errors; ability to work under pressure to meet critical deadlines; proficient in the Microsoft Office suite of software; ability to work overtime as needed.

PHYSICAL REQUIREMENTS

Capable of performing physically demanding tasks associated with office building and supply duties. Ability to lift, carry and move equipment and materials of up to 40 pounds. Ability to travel.
