Join the values-driven team at the UT Office of Ombuds Services as our Educational Program Support Specialist. Our office serves as an independent, impartial, informal, and confidential resource for faculty, staff, and graduate students on the Knoxville campus and beyond. To our 18,000+ constituents, we provide three primary areas of service: Ombuds consultations with visitors; education and outreach programming to participants; and support to leadership for organizational change . In this newly established non-exempt staff position, you will assist us in continually improving support processes for logistics, delivery, evaluation, and development of our growing education and outreach services, including in-person and virtual workshops, awareness & information sessions, certificate programs, and community networking events. This work will include collaboration with support staff from campus partner offices

  • ex.: the graduate school, human resources, Title IX, etc.
  • to coordinate streamlined scheduling for Ombuds’ educational programming and events.

In addition, you will play a key role in increasing campus awareness and understanding of the Ombuds office by assisting the Educational Program Coordinator in creating, maintaining, and evaluating new and existing promotional and educational resources, materials, and delivery platforms. To support all this work, you will engage in data collection, management, and analysis for Ombuds’ annual reports and internal program evaluation, While a selection of our educational services is provided virtually UT System-wide, our primary focus is on meeting the needs of graduate students, staff, and faculty associated with the Knoxville campus

Our new Support Specialist will have a dedicated workspace within our confidential Knoxville office with options for flexible remote work as determined by the Ombuds’ educational programming schedule and our constituents’ needs. As such, we are seeking a self-disciplined, proactive, and motivated individual able to function equally well independently and collaboratively. Educational Programming Support Collaborate with Ombuds staff, constituent units, and partner offices for scheduling meetings and educational programming. Manage participant registration, engagement, attendance, and feedback data collection for OOS services. Support the facilitation of virtual and in-person educational programming, this may involve travel within the State of Tennessee. Conduct educational outreach to the campus community about the services and programs the Ombuds Office offers. Coordinate with UT Shared Services to facilitate licensing & billing for various training materials that OOS provides. Provide communication support and materials preparation for educational workshop participants. Provide support for managing Ombuds initiatives such as the Employee Conflict Navigator Program and the Train-the-Trainer program. Manage educational programming and outreach databases to enter, normalize, and clean data, and assist with analysis and reports. As determined, participate in train-the-trainer certification vendor programs related to education programming offered by the Ombuds. Communication & Marketing Support Manage Ombuds websites, newsletter, and social media messaging. Manage production of electronic and print based office outreach materials. Locate or create graphics for office print and electronic materials. Manage procurement and inventory of swag and supplies for educational programming. Copyedit educational materials and communications produced by Ombuds staff, ensuring they are accessible and inclusive per university policy and procedures. General Office Support Work with Shared Services on fiscal activities such as procurement, travel, contracts, etc. Participate in the strategic and long-range planning processes for the Ombuds Office. Participate in events, workshops, and conferences facilitated by the International Ombuds Association for establishing/sustaining current knowledge as an Ombuds office staff. This may require overnight travel outside the state of TN. Participate in internal and external professional development to enhance personal performance and growth that supports OOS. Other responsibilities as assigned by the Educational Program Coordinator or the OOS Director.

Required Qualifications Education & Experience:

A High School Diploma or High School Equivalency Degree with at least 3 years of experience in an administrative or event planning role and experience working with databases.

Preferred Qualifications Preferred Education & Experience:

Preference given to those having completed a degree or postsecondary training (Bachelor’s, Associates, or Vocational) in a service-oriented field with 1-3 years’ experience in in an administrative or event planning role and experience working with databases.
