JOB SUMMARY/ESSENTIAL JOB FUNCTIONS

The Administrative Specialist 3 provides administrative support within Graduate Medical Education Pediatrics office. Responsibilities
Serves as the initial point-of-contact within the department; answers phone calls, greets visitors, collects and distributes mail, orders supply, and liaison for conference meetings.
Maintains resident time sheets, academic files, and schedules mid-year and end of year evaluations for residents.
Provides support for all residency events, i.e., annual wellness, holiday, graduation, and UT alumni receptions.
Manages the Program Director’s schedule and prepares training verification for Program Director’s signature.
Prepares graduation invitations, summative letters, transfer letters, and letters of standings for graduates.
Assists Associate Director, Assistant Program Directors, and Chief Residents with calendars and schedules, travel arrangements, and program specific task.
Distributes Electronic Residency Applications Systems (ERAS) applications to faculty prior to interviews and prepares letters of recommendations to upload into ERAS.
Records and distributes minutes for assigned meetings.
Performs other duties as assigned.

EXPERIENCE

Four (4) years related administrative office work experience; OR Associate’s Degree in a related field and two (2) years related experience; OR a combination of education and experience to equal four (4) years.

KNOWLEDGE, SKILLS, AND ABILITIES

Ability to prepare written reports and maintain organization of documents and files.
Ability to maintain confidential and detailed information.
Excellent interpersonal and communication skills with diverse populations.
Knowledge of Microsoft Office system.
Ability to prioritize task and meet deadlines.

WORK SCHEDULE
