Job Description

Administrator Academy Di Capelli 1010 Main Street, East Hartford, CT 06108 Overview We are seeking a dedicated and highly organized Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong customer service skills, effective time management, and proficiency in various office tasks. Operational Management:

Overseeing daily operations: Ensuring smooth functioning of the school, including managing staff, scheduling, and maintaining a positive learning and working environment. Managing and maintaining office files, ensuring all documents are organized and easily accessible. Performing clerical duties including data entry, document preparation, and correspondence management.

Inventory management:

Keeping track of and ordering necessary supplies and products for the school’s various programs.

Handling equipment maintenance:

Making arrangements for routine maintenance and repairs of equipment.

Compliance with regulations:

Ensuring the school adheres to all relevant health, safety, and industry regulations. 2.

Staff Management:

Recruiting, training, and supervising staff: Hiring, onboarding, and providing ongoing training and guidance to instructors, support staff, and other team members.

Creating and managing staff schedules:

Optimizing staffing to meet both educational demands and client needs.

Monitoring staff performance:

Conducting performance evaluations, providing feedback, and promoting professional development.

Fostering a positive work environment:

Motivating and supporting the team to ensure high performance and satisfaction. 3.

Student Management:

Student enrollment: Potentially assisting with the admissions and enrollment process for new students. Conducting new start orientations.

Student advisement:

Providing guidance to students on educational requirements, career development, and licensure.

Monitoring classroom and salon activities:

Overseeing the educational experience to ensure high standards are met.

Addressing student concerns and issues:

Resolving issues related to enrollment, attendance, academic progress, and more. 4.

Business Development:

Developing and implementing marketing strategies: Attracting new students and clients and retaining existing ones. Managing the school’s supply budget: Overseeing expenses, conducting inventory counts. Building relationships with suppliers and vendors: Maintaining strong relationships with product suppliers. 5.

Other Responsibilities:
Communication:

Handling client and student communications, including calls, emails, and inquiries.

Maintaining accurate records:

Keeping meticulous records of students, finances, and other essential information.

Dealing with customer complaints:

Handling customer concerns with grace and professionalism. Other tasksat owners’ discretion. Qualifications Proven experience in an administrative role or similar position is preferred. Strong customer service skills with the ability to interact professionally with students, staff and clients. Excellent time management skills to prioritize tasks effectively in a busy environment. Familiarity with office equipment, phone systems and Microsoft Office programs is essential. Proficient in calendar management and clerical duties with attention to detail. Ability to delegate tasks to maximize efficiency. Ability to work independently as well as part of a team, demonstrating flexibility and adaptability.
