OFFICE SUPPORT SPECIALIST – BOE
City of Stamford Washington, CT JOB Under the general supervision of a school administrator or department head, provides support to school administrators or department heads in various administrative tasks, including managing correspondence, maintaining record, coordinating schedules, and providing support in financial administration and student related processes.
EXAMPLE OF DUTIES
Provide general administrative support, including answering phones, greeting visitors, and managing correspondence.
Maintain accurate records, files and databases related to student enrollment, personnel, finances, and other administrative areas. Enter and update student information, attendance records, and other data into the school’s database. Coordinate appointments, meetings, and events including calendar management. Communicate effectively with students, parents, and staff in person, over the phone and via email.
Manage office supplies and equipment maintenance.
Assist in planning, organizing, and executing school events, activities, and special programs.
Assist in financial administration tasks such as entering requisitions, processing invoices, and tracking expenses. Assist with student registration, enrollment, and withdrawal processes.
Proficiently use software applications including Microsoft Office Suite and database management systems. Collaborate with other staff members to promote teamwork and enhance department operations.
Participate in staff meetings, training sessions and professional development activities as required.
Adhere to established policies, procedures and regulations governing the operations of the Board of Education. Stay informed about updates and changes and ensure compliance in all activities.
Perform additional tasks and projects as assigned by school administrators or department heads to support and overall mission and objectives of the school or Board of Education.
SUPPLEMENTAL INFORMATION
Graduation from an accredited high school and two (2) years of responsible office experience which includes the use of computer software programs; including Microsoft Office Suite. Associate degree or higher may substitute for one (1) year of experience. Some professional experience working with children or a school community preferred.
Other Necessary RequirementsSome positions require the ability to communicate effective, both orally and in writing, in both English and Spanish.
SCOPE OF EXAMINATION
Applicants will take part in a comprehensive and competitive examination process intended to assess the knowledge, skills, abilities, and other qualifications necessary for the position of Office Support Specialist. The examination will consist of three components, outlined below: Written Examination (50%)This test will evaluate a candidate’s knowledge of: Modern office practices and proceduresBusiness English including grammar, spelling, and punctuationBasic mathematics and financial transactionsInterpersonal RelationsPerformance Examination (25%)Candidates will complete tasks simulating actual job duties to demonstrate proficiency in: Preparing correspondence and reportsUsing spreadsheets for tracking and reportingEntering and updating data in databasesManaging scheduling, filing, and other clerical responsibilitiesSupplemental Questions (25%)A review of the candidate’s application and supplemental questionnaire to assess: Relevant work history in clerical, administrative, or school-based office supportExperience using HR, payroll, or financial systems (e.g., Frontline, AppliTrack)Experience working in a school or educational environmentAbility to manage confidential information and provide strong customer serviceCandidates must achieve a passing score in each component to be placed on the eligibility list.
