West Campus Purpose:

The Administrative Assistant provides essential clerical and administrative support to ensure the smooth, professional operation of the Main Office while directly assisting the Associate Principal. As the first point of contact for students, families, staff, and visitors, this position is critical to creating a welcoming and efficient environment and supporting the daily functions of school leadership.

Supervision:

This position functions under the general supervision of the Associate Principal and School Administration. The Administrative Assistant performs a wide range of clerical and office management tasks with a high degree of independence and professionalism.

Key Responsibilities:

Main Office & Reception Duties Greet and assist students, staff, families, and visitors in a professional and courteous manner. Apply all district safety protocols for visitor entry, lockdown procedures, and emergency response. Answer incoming calls, route inquiries, and take accurate messages. Serve as a central resource for daily troubleshooting and support for students, staff, and guests. Support the registration of new students, including verification of residency documentation. Associate Principal Support Manage calendars, schedule appointments, and coordinate meetings for the Associate Principal. Prepare letters, reports, spreadsheets, and presentation materials as requested. Assist in planning and coordination of school events, communications, and projects. Maintain confidentiality in handling sensitive student, staff, and disciplinary information. Attendance & Absence Management Monitor daily staff attendance and record absences using the district’s absence management system (Aesop/Frontline). Assist in coordinating substitute coverage in collaboration with the district’s substitute coordinator. Maintain and submit accurate time and attendance records for non-certified staff to Central Office Payroll. Track student attendance and generate reports from PowerSchool as needed. Technology & Office Systems Create and edit documents using Microsoft Word, Excel, and Google Workspace (Docs, Sheets, Slides). Perform mail merges and other advanced word processing tasks. Proofread documents for content, grammar, punctuation, and formatting. Use PowerSchool to enter and update student data accurately. Administrative Support & Reporting Compile, organize, and submit reports required by school or central administration. Maintain well-organized filing systems, including confidential student and personnel records. Manage building-based student activity accounts if directed. Assist with ordering supplies, managing inventory, and processing requisitions and invoices. Additional Duties Distribute daily mail, announcements, and communications. Support school-wide communications and maintain the main office bulletin board or information displays. Prepare student files for internal or external transfers. Perform other related duties as assigned.

Qualifications:

Education & Experience High School Diploma or equivalent (required) 1-2 years of experience in office support, secretarial, or customer service roles Experience in a school environment preferred Skills & Abilities Strong interpersonal and communication skills Demonstrated ability to maintain confidentiality and handle sensitive matters with discretion Proficiency with Microsoft Word, Excel, and Google Workspace Familiarity with PowerSchool or willingness to learn (assessment may be required) Ability to prioritize tasks, manage multiple deadlines, and remain organized in a fast-paced environment Professional, courteous, and welcoming demeanor Bilingual in Spanish or Portuguese preferred

WORKING CONDITIONS

Salary according to the UPSEU current bargaining agreement. Full-time – 35 hours per week. 52 week work year
