Qualifications:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).’ Experience in office management, administrative support, or similar roles, preferably in a school or educational setting. Strong organizational skills with attention to detail. Excellent communication skills (both written and verbal). Ability to multitask and work collaboratively in a fast-paced environment. Proficient in using office software, including Microsoft Office Suite or Google Workspace. Experience in onboarding or managing substitutes or a related area, is preferred. Strong customer service orientation and ability to work with diverse groups of people.

Operations Director Position Summary:
The Office Coordinator will provide administrative and operational support to various departments within the school, including the Registrar, Receptionist, School Nurses, and the Business Office. The role will involve assisting with office management, coordinating daily operations, managing office supplies, and supporting substitute teacher onboarding and tracking. This position will play a key role in ensuring smooth day-to-day operations across the school by offering comprehensive assistance and coordination.
Key Responsibilities:
General Office Management:
Assist with general office operations, ensuring the office runs efficiently. Coordinate the inventory, ordering, and organization of office supplies. Provide administrative support to the Registrar, Receptionist, and School Nurses as needed. Support to the
Business Office:
Assist the Business Office with administrative tasks as needed, including filing, document preparation, and communication. Help with maintaining financial or administrative records, ensuring accuracy and confidentiality.
Substitute Teacher Coordination:
Interview and onboard 1099 substitute teachers, ensuring they complete necessary paperwork and meet all school requirements. Maintain and manage records for all substitutes, ensuring compliance with school policies. Track substitute hours across all departments, ensuring accurate documentation of hours worked for payroll purposes. Communicate substitute teacher schedules, assignments, and expectations to the relevant staff.
Communication and Collaboration:
Act as a point of contact for general inquiries, responding promptly and professionally. Assist with communication between departments to ensure all office functions are aligned and efficient. Coordinate meetings, appointments, and other logistical tasks for the Operations Director and other school staff.
Administrative Support:
Support school nurses with necessary documentation, including medical forms and student health records. Assist the receptionist with handling calls, greeting visitors, and other front-office duties. Prepare, maintain, and file student and staff records, ensuring compliance with confidentiality policies.
Miscellaneous Duties:
Help with various ad hoc tasks and projects as assigned by the Operations Director. Ensure smooth operational flow of the school office and manage any issues that may arise on a daily basis.
Additional Skills:
Knowledge of school operations and experience in a school setting a plus. Ability to maintain confidentiality and handle sensitive information responsibly. Flexibility and adaptability to take on varying tasks and responsibilities.
