This position will provide administrative support to the ASC including the Academic Advising Office (AAO), Office of Student Accessibility and Academic Support (OSAAS) and will report to the Associate Dean of Academic Services.
RESPONSIBLITIES
Assist the Associate Dean of Academic Services in leading ASC operations including coordinating and scheduling all-ASC staff meetings, events, and Center initiatives. Serve as part of the Front Desk team, working collaboratively with other Staff Assistants, to provide high quality customer service and administrative support for all ASC programs, services, and departments. Employ a student centered and positive approach to customer service with the various campus constituents and ASC guests. Answer phones, monitor office email accounts, check in students, and manage all guests in need of ASC services with excellent customer service. Help train graduate and undergraduate students to assist with Front Desk responsibilities. Manage grade forgiveness process and complete changes for major and minors in Workday, process student cancellations, and update advising assignments. Manage expenditures, prepare invoices, purchase requisitions and overall budgets for Assistant Dean of Academic Services cost center. Prepare reports, memos, letters, meeting minutes and other documents, using word processing, spreadsheets, database, and/or presentation software. Develop and process confidential correspondence, reports, agendas, and general papers. Assist with overall program responsibilities, to support OSAAS and AAO team, as needed. Other duties as assigned. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of all cultures and backgrounds.
QUALIFICATIONS
High school diploma required. Two years of college is preferred. Minimum 2 years administrative experience. Database management and data entry skills required. Proficient in MS-Office. Excellent written, oral, interpersonal and customer service skills required. Ability to multi-task, establish priorities, and manage time wisely. Attention to detail and organizational skills needed. Knowledge of, or the ability to learn quickly, The University of Tampa software programs such as Workday, OnBase, Navigate, Accommodate, and Microsoft Office. Willingness to embrace new technologies and innovative organizational practices. Monday through Friday from 8:30 a.m. to 5:00 p.m.
Summer:
Monday through Thursday from 8:00 a.m. to 5:30 p.m. Occasional evenings and weekends may be required.
