As the leadership phase of the campaign begins, the Division of University Advancement is accelerating the hiring of additional Principal Gifts and Gift & Estate Planning professionals and is excited to build out its team. Responsibilities The Assistant Director of Advancement, Principal Gifts and Gift & Estate Planning manages the business operations of the Principal Gifts and Gift & Estate Planning team within the Division of University Advancement. The Assistant Director of Advancement, Principal Gifts and Gift & Estate Planning provides administrative and executive support to the Associate Vice President (AVP) for Principal Gifts and Gift & Estate Planning, as well as the Principal Gifts and Gift & Estate Planning teams. In all responsibilities, demonstrates a high level of professionalism and confidentiality in a fast-paced, high-volume environment while remaining flexible, proactive, resourceful, and efficient. Exercises independent judgment and discretion in determining matters meriting the AVP for Principal Gifts and Gift & Estate Planning’s attention. Strategic Operations Management Manages daily operations of the Principal Gifts and Gift & Estate Planning Office with independent judgment and discretion, ensuring efficiency and alignment with goals. Interprets University policies to ensure compliance with policies and procedures. Manages budgetary and confidential records to ensure effective functioning. Ensures that the teams operate within allocated budgets, maintaining financial discipline and accountability. Prepares departmental disbursement requests, monitors expenditures, and oversees the AVP’s budget. Serves as the program’s subject matter expert and primary liaison to multiple operational teams for tracking proposals, gift agreements, and other gift documentation. Provides leadership as a key partner in the planning and execution of donor events, dinners, small gatherings, and stewardship events such as the Planned Giving Advisory Council meetings. Liaises with donor relations and events teams for donor engagement in sports suites (football, basketball, baseball). Supports leadership with special projects, presidential briefings, and polished presentations that align with priorities. Direct Assistance Coordinates, supports, and assists with the core initiatives and strategic goals of the Division of University Advancement/FSU Foundation. Serves as a liaison to university stakeholders, including the President, Provost, Deans, donor constituents, board members, and volunteers. Schedules high-level meetings, manages a complex calendar, and ensures the AVP is equipped with necessary materials and documentation. Organizes travel arrangements for the AVP and team members, including P-Card reconciliations. Maintains and updates records in the CRM system, ensuring data accuracy and compliance. Provides comprehensive administrative support, including correspondence preparation, research, agenda creation, memo composition, and transcription of minutes. Organizes and maintains office files, legal documentation, and records to ensure accessibility and accuracy. Manages office operations by coordinating supplies, vendor relations, mailings, and administrative tasks. Evaluates and processes incoming correspondence to prioritize distribution. Digital Communications and Marketing Serves as a key partner to develop digital communication and marketing projects for Principal Gifts and Gift & Estate Planning office. Manages marketing efforts including semi-annual mailers, impact mailers, tax planning emails, and newsletter ads. Partners with donor relations and communications teams on donor stewardship communications such as holiday cards and birthday cards, while supporting the development of new programs to enhance stewardship. Stakeholder Coordination Serves as a strategic thought partner for the AVP in preparing materials, talking points, and presentations for executive meetings, including meetings with donors or other stakeholder groups. Maintains working relationships with university leaders and constituents, including Board of Trustees, VPs, Deans, and the President’s Office. Protects confidential information and other duties as assigned. Qualifications Bachelor’s degree and four years of experience in a related field; or a high school diploma or equivalent and eight years of experience in a related field. (

This role will be fun and challenging at the same time and is ideal for someone who likes working with colleagues to complete important projects. What can I expect in the first 60-90 days? Your first few weeks will be getting up to speed on all things FSU — our policies, procedures, and what is expected of you. You’ll also spend time getting to know your colleagues, learning about the role principal gifts plays in the Division of Advancement, and the various aspects of gift planning. There’s on the job training, but you’ll need to bring your project management and people skills to the table. This position will play an important role in helping achieve our goals as part of FSU’s comprehensive campaign.
