Job Purpose:
The Instructional/Administrative Clerk serves a vital dual role within the school, supporting both the front office operations and classroom instruction. This position provides critical assistance to the principal and office staff, while also stepping in as classroom support or substitute as needed. The role includes working directly with students, supporting teachers, and managing components of the National School Lunch Program (NSLP) at the campus level. This position contributes to the overall effectiveness and daily function of the school.
Qualifications:
Must have completed at least two years of study at an accredited institution of higher education (e.g., community college, college, or university) OR possess an associate’s degree or higher.
Essential Duties and Responsibilities Instructional and Teacher Support:
Provide classroom coverage in the absence of teachers, maintaining a peaceful, structured learning environment that reflects Montessori principles. Assist teachers with instructional tasks, including one-on-one or small group tutoring, and guiding students in learning activities. Support classroom management, ensuring a safe, respectful, and orderly space. Help teachers organize and prepare instructional materials, supplies, and learning aids. Translate written or verbal communication for students or families as needed and if able. Support non-instructional classroom responsibilities, such as preparing materials or maintaining order during transitions. Support student supervision during school-sponsored field trips or off-campus activities as assigned by the Principal or designee.
Lunch and NSLP Responsibilities:
Oversee student lunch periods with attention to order, cleanliness, and student well-being, aligned with the Montessori approach to independence and grace and courtesy. Serve as the on-site contact for the National School Lunch Program (NSLP), responsible for daily tracking and documentation of student meals. Complete and maintain compliance with all required NSLP-related training, reporting, and recordkeeping. Communicate regularly with the Lunch Manager (based at a different campus) regarding program updates, reporting requirements, and operational needs. Ensure full compliance with state and federal NSLP guidelines.
Administrative Support:
Greet and assist all school visitors, parents, and students in a professional and welcoming manner. Answer and direct telephone calls, take messages, and provide general information. Maintain accurate and up-to-date student records, attendance, and documentation as required. Perform routine clerical tasks including data entry, photocopying, mailing, filing, and document formatting. Assist with scheduling, organizing meetings, correspondence, and preparing documents for the principal and administrative team. Manage supply inventory and order necessary administrative and instructional materials. Assist in preparing school newsletters, bulletins, announcements, and general communications. Coordinate with district staff, parents, and community partners as directed.
Required Skills and Abilities:
Previous experience in a school or administrative support setting preferred. Strong interpersonal skills and a commitment to respectful, student-centered communication. Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office technologies. Excellent organization and time management skills. Ability to work independently and collaboratively in a dynamic school environment. Strong attention to detail and ability to manage sensitive or confidential information appropriately.
Physical Requirements/Activity:
Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently. The position requires the ability to sit, stand, walk, bend, reach, lift (up to 20 pounds), finger dexterity, grasping, talking, hearing acuity, and visual acuity.
Indoor and Outdoor:
Teacher Assistant is subject to both environmental conditions. Activities occur inside and outside.
