Student Services Specialist (Entry Level) 3.7 3.7 out of 5 stars 3940 North Dean Road, Orlando, FL 32817 Entry Level•Student Services Specialist We are currently looking hire and train a part-time entry-level Student Services position open at Southern Technical Institute (STI)•Orlando Campus. The Student Services team provides a high level of support to student admissions and customer service. Southern Technical Institute partners with several agencies within the metro Orlando area that assist students to pay tuition cost. The Student Services team works collegially with other administrative units within the Institute; creates and provides transcript service to students/alumni; implements effective and efficient systems of communication between the Student Services responsibilities and internal/ external constituencies, maintains all student data records, reports student data to supportive agencies and affiliates and also manages classroom and clinical schedules.

Primary Responsibilities:

1. Ensure consistent services and sufficient supplies. 2. Oversees the production and issuance of academic transcripts. 3.

Maintains student data records:

enrollment status and dates; address and name changes; other relevant student data. 4. Prepares registration and orientation materials. 5. Processes student registrations and changes. 6. Processes course and enrollment withdrawals. 7. Prints class lists and grade sheets as directed. 8. Enters final course grades in a team environment. 9. Maintains and digitizes student files. 10. Coordinates the regulated destruction of confidential records. 11. Prepares student statistical reports as directed by the Executive Director. 12. Prepares certifications of student enrollment for review and approval. 13. Verifies student certifications and diplomas awarded and completion dates. 14. Communicates with students and faculty concerning extensions, class absenteeism, and grade discrepancies. 15. Enforces academic policies and procedures as outlined in the student handbook and catalog. 16. Updates pertinent information on STI website, as directed. 17. Assist with prospect phone calls to secure appointments and/or take registrations by phone. 18. Assist with inquiry calls from all potential students interested in knowing or receiving information about courses offered. 19. Assist candidates for enrollment, and determine appropriateness of candidates for admission based upon individual career goals. 20. Reply to web inquiries and calls to all potential students and give accurate information about the courses and programs offered. 21. Conduct tours of our campus and guide potential students through the enrollment process. 22. Assist to handle large volume phone prospects within a busy work environment. 23. Take initiative and work independently to meet deadlines in a sales-driven environment. 24. Engage student prospects quickly, interact and maintain good working relationships with individuals of varying social and cultural backgrounds. 25. Communicate efficiently and effectively both verbally and in writing particularly through web chat and email communications. 26. Professionally present yourself in representation of the school, to students both on the phone and in person. Record Keeping & Performance Data Performs data entry of all inquiries, applications and re-logs for the Student Services department. Handle applicant files accurately and efficiently. •Ensure that all applicant files are complete and up to date. Refer prospective students as needed to appropriate support offices on campus. Track and report all application and inquiries. Prepare weekly reports to communicate individual recruiting efforts in relation to departmental objectives and assigned admission goals.

Other Skills & Requirements:

Minimum 2 years office experience Strong follow up skills. Strong writing and interpersonal communication skills is a must. Dedication to providing excellent customer service to student population. Possesses strong detail orientation and analytical skills. Must protect the confidentiality of student personal information and comply with school confidentiality policies. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Working Conditions:

Consistent 20 hour•25 hour work weeks. Student Service representatives rotate various shifts Monday to Saturday. The Student Services office hours are available Monday through Friday 8AM to 6PM and occasional Saturdays 8AM to 2PM.

Your schedule would be:

Monday through Thursday 1:00p.m.•6:30pm and Friday 11:30am•5:00 pm.

Qualifications:

Previous office experience preferred, high volume involving telephone contact, professional correspondence, and administrative support is required. Ability to maintain confidentiality, the ability to adhere to federal and state laws governing privacy, and excellent organizational skills. Ability to absorb academic policies and procedures as found in the Southern Technical Institute Catalog and Student Handbook. Strong working knowledge of computer programs such as Outlook, Outlook Calendar, MS Word, Excel, and a familiarity with databases; ability to learn specific software programs as they relate to various student records. Must have exceptional listening skills, excellent written and oral communication skills, and excellent interpersonal skills. Flexibility in work hours (when needed due to campus needs); Excellent telephone personality, strong organizational skills, attention to detail, and the ability to manage multiple tasks and to perform well under pressure. Characteristics essential to this position include initiative (self-motivation), effective and timely follow-up, and the ability to work independently. Physical demands of this position involve ability to lift and carry up to 15 pounds. This position also requires a considerable amount of walking distances of up to 500 feet.
