Position Summary:

Florida Atlantic University is seeking an Advising Assistant•Boca Raton, FL. The College of Science Student Advising Services Office is responsible for providing general advising services.

Summary of Responsibilities:

Supervision of the front desk area in the Student Academic Services office. Checks students in for advising appointments for undergraduate and career advisors. Coordinates information and services and is the “first point of contact” for students in the course petition process. Works with advisors during orientations. Organizes pre-advising information and handouts to guide prospective students in their choice of programs in the College of Science. Liaison between undergraduate advising in the College of Science and Department Chairs/ program representatives. Liaison between undergraduate advising and UAS regarding issues on student admission, dismissal, and course petitions. Develops and monitors a database of petitions approved, denied, and appeal letters sent by the associate dean. Responds to inquiries from undergraduate students by email and phone about our programs and admissions processes for the College of Science. Informs students of all the services and resources available within the university and the College of Science in particular. Works with the director to prepare the final pre-certification and certification list for graduating seniors. Coordinates and distributes telephone call appointments. Creates spend authorizations and Expense reports for the Student Advising Services Office. Creates purchase requisitions for the Student Advising Services Office and generates budget reports. Performs payroll functions and generates timekeeping reports. Sends notices to hourly employees of deadlines to submit time and managers of dates and times to approve hours worked for hourly employees. Contacts employees and managers who have not submitted and approved their time. Contact the payroll office if there are any errors. Other job-related duties and projects, as assigned. Minimum Qualifications:

High School Diploma and five years of appropriate experience required.

Preferred Qualifications/Skills:

Excellent verbal and written communication skills. Proficient in Microsoft Office programs such as Word, Outlook, PowerPoint and Excel. Excellent customer service, organizational and time management skills.
