Job Details:

The Townsend School of Music is searching for an Office Assistant and Fickling Hall Coordinator on the Macon campus.

Responsibilities:

The Music Office Assistant supports the needs of the Townsend School of Music Associate Dean, the Executive Assistant to the Dean, and the Directors of the Undergraduate and Graduate programs, working under direct supervision of the Dean in conjunction with the Executive Assistant. Day-to-day operations include greeting and assisting students, faculty and visitors; scheduling; marketing; and daily office operations for the School. Reception and office Greet the public and welcome prospective students and families, arrange meetings with faculty and tours of the Music building Assist faculty, students, and guests with questions, directing to other individuals/offices as necessary Answer phones and directs as needed Assist faculty with office needs (i.e., copying, faxing), coordinating special projects Coordinate student recital programs E-mail Music faculty, students, and patrons regarding student recitals Oversee the preparing, proofing, and printing of recital and concert programs Confirm that Mu Phi has scheduled ushers for performances with Mu Phi to schedule ushers for performances Fickling Hall Coordinator Coordinate and train student workers for operations in Fickling Hall and Newton Chapel Arrange and manage an average of 50 music events each year, including arranging piano tunings and other instrument needs, scheduling rehearsals and programs Schedule and coordinate student workers for recitals and/or special events in Fickling Hall, Newton Chapel including front

  • and back-of-house duties; some evenings and weekends required Assists Director of Undergraduate Studies and Director of Graduate Studies Maintain student files Create prospective undergraduate and graduate student files in anticipation of auditions Assist with correspondence, coordinating campus visits, and scheduling auditions Assists Associate Dean Assist with auditions scheduling and audition event days Under the Associate Dean’s and Dean’s direction, create and mail scholarship letters Keep detailed records of scholarships offered, with follow-up (acceptances, rejections, increases, etc.

) and communicating with Admissions Assist with other events including recruitment, auditions, and workshops Assists Executive Assistant Clerical work and special projects as assigned Facility logistics Manage School of Music online calendar E-mail Physical Plant and National Custodial Service as needed Assist with building concerns (lights, building repairs, etc.) Maintain equipment and updates in Fickling Hall Recording Booth Coordinate with other Mercer departments (Physical Plant, IT, Reservations, etc.) Manage building event needs (tables, chairs, equipment moves, etc.) Check building on a regular basis for issues (lights, repairs, doors locked, etc.) Maintain building security, door lock schedule, building access

Qualifications:

A high school diploma/GED is required. Some prior administrative support experience is preferred.

Knowledge/Skills/Abilities:

Strong communication, critical thinking and problem-solving skills. Abilities to set priorities, organize and coordinate an office operation, anticipate needs, work on multiple tasks under deadline pressures, and exercise good judgment, particularly with sensitive or confidential matters. Excellent communication and interpersonal skills to deal effectively with diverse groups and individuals at various levels within the organization. Ability to prepare and present written and oral information articulately and efficiently in a fast-paced environment. Strong self-motivational skills for independently initiating working relationships with a wide variety of people. High proficiency in computer applications including Windows, Word, Excel, PowerPoint, Outlook, and accessing information via the World Wide Web. Working knowledge of database systems. Strong working knowledge of computer operating systems, database systems, software, email and internet access. Possesses a positive, proactive attitude, a strong work ethic, the ability to make quick, accurate decisions, to see both the big picture and the behind-the-scenes details Ability to work as part of a team, as well as the ability to work independently.
