Job Description
Student Records Associate 4.4 4.4 out of 5 stars Pinehurst, NC 28374 JOB The Student Records Associate provides support in executing student records processes and operations of the Student Services Division. The associate will provide excellent customer service to students, faculty and staff. Departmental support will include keying transfer credit into student records, processing electronic forms to update student records, preparing worksheets to use for review of attendance information and assisting in the attendance verification process. The associate will be expected to build rapport with Student Services colleagues, SCC administrators, instructors, students and visitors.
EXAMPLE OF DUTIES
Provide excellent customer service to students, faculty, staff, visitors and outside agencies.
Answer individual and departmental phone lines, assist with responding to Student Records Office emails, assist students at the front counter and visitors to Student Services. Many inquiries involve troubleshooting registration questions and require understanding of college and departmental procedures.
Process electronic forms in Etrieve to include: drops, adds, audit requests, grade changes and non-course credits from AP scores, credit-by-exam, and experiential learning. Understand guidelines regarding drop dates, refunds, and alternate forms of credit to assist students and faculty. Crosstrain with Director to understand process to deregister non-payment and never-attend students.
Review and verify attendance rosters and Moodle rosters for FTE reporting and understand the standards and best practices related to compliance.
Process on demand transcript requests and National Student Clearinghouse orders. Have the ability to troubleshoot orders and communicate with the student or the vendor as needed.
Verify accreditation, enter transfer credit, and understand placement for new students. Have working knowledge of transfer credit guidelines to explain to students, faculty and staff and assist with determining transfer credits.
Verify enrollment, degrees and process degree plans. Respond to requests for enrollment verification letters. Communicate with outside agencies to determine information needed.
Assist with the process to update the academic catalog.
Assist with coordinating with the Web Content Strategist to ensure timely and accurate updates to the website.
Assist in sending communications to students regarding refund periods, drop periods, graduation application deadlines and graduation updates.
Process graduation applications to include data entry, verification of requirements and communication of the graduation process.
Run Informer reports to assist in verification of data such as missing attendance, missing grades, waitlisted courses, program start and anticipated completion dates and graduation term. Edit report template to capture additional data to ensure accuracy of records and to streamline procedures.
Create and maintain worksheets to facilitate and track verification processes.
Assist with preparation of graduation rehearsal and ceremony to include signs, honor cords, line-up boxes, diploma covers and reader cards. Interact with guests, including photographers, sign language interpreters, special guests and those requiring disability accommodations. Assist director to ensure other staff understand their assigned duties on the day of the ceremony.
Crosstrain with Coordinator to understand process for assigning PTK honors and uploading student/degree information to Parchment.
Provide support with budgeting and purchasing processes. Create and organize training materials as needed for registration and student information access. Maintain electronic student files and scan documents as needed. Work in partnership with colleagues and students across campus to identify and address needs/resources that will ensure student success for all students. Ensure compliance with FERPA requirements as they pertain to student records. Other projects and duties as assigned by the Director of Student Records.
