Administrative Specialist, UTM Selmer Center 4.0 4.0 out of 5 stars Selmer, TN The Office of Regional Centers and Online Programs at the University of Tennessee at Martin is seeking a dedicated Administrative Specialist for the UT Martin McNairy/Selmer Center in Selmer, Tennessee. Reporting to the UTM Selmer Center Director, this role provides comprehensive administrative support to facilitate the smooth operation. The successful candidate will collaborate with faculty, staff, and students, assisting with a variety of administrative tasks to support the center’s programs and services. UT Martin offers a supportive work environment with opportunities for professional development, educational assistance, insurance, retirement, paid leave, etc. Manage all office operations and provide substantial administrative support for the Selmer Center, serving faculty, staff, adjunct instructors, and students. Enter and maintain documentation in DASH, the University’s ERP system for accounting and HR processes. Process travel requests and reimbursements via electronic platforms. Order and maintain inventory of office, lab, and instructional supplies; verify incoming orders and resolve discrepancies with vendors. Serve as

Procurement Cardholder:

make purchases, pay invoices, and verify monthly charges per university policies. Supervise and coordinate work schedules for student workers and distance learning technicians. Provide training and technical support for student workers and technicians. Draft correspondence, minutes, reports, and process requests for supplies and equipment. Collect, complete, and submit payroll documentation for adjunct faculty, staff, and student workers; verify timesheets and payroll accuracy. Complete and submit online Requests for Adjunct Approval, coordinate approvals with the Office of Regional Centers and Online Programs. Maintain petty cash and outreach logs. Respond to inquiries and guide students, prospective students, and parents regarding courses, programs, financial aid, and scholarships. Assist with admissions, transcript requests, and scholarship applications. Facilitate student financial transactions, including posting funds, processing fee discounts, and submitting financial aid documents. Prepare deposit reports and transport deposits. Proctor exams, including Exit and CLEP exams. Assist faculty with classroom needs and technology support. Support students and instructors with research tools, databases, and technology. Organize student appreciation activities and coordinate non-credit seminars and workshops. Track student notifications and admissions communications. Prepare degree plan forms and check-sheets for Bachelor of Interdisciplinary degree students. Participate in recruiting events and outreach efforts. Reserve and schedule use of the Center, prepare invoices for outside activities, and maintain the Center’s calendar. Serve as Recorder for the UT Martin McNairy County Higher Education Committee. Conduct annual inventory of equipment and supplies and maintain key inventory. Perform courier duties as needed. Post updates on social media platforms. Manage fiscal year-end procedures and ensure proper record retention. Coordinate special events at the Center. Collaborate with the Office of Development on external funding and awards. Support Learning Resource Center activities. Create/maintain UTM courses (CRNs) in Banner Admin for each semester. Assist with course scheduling and maintain instructor syllabi and resumes. Perform other duties as assigned by the Director. Minimum Qualifications High school diploma and two years of relevant experience, or an equivalent combination of education, training, and experience. Strong interpersonal skills and ability to collaborate with diverse groups. Excellent oral and written communication, organizational, and time management skills. Proficient with office equipment and technology. Computer proficiency in Microsoft Office Suite, survey tools, and relevant software. Self-motivated, independent worker with strong decision-making abilities. Preferred Qualifications Bachelor’s degree with 1-2 years of relevant experience.
