This position provides administrative support for the Sr. Director and assistance to the Development Team as needed. This position plays a crucial role in supporting the fundraising and development activities of the ministry operations in Alabama. In addition to clerical work, record keeping and scheduling, this position is responsible for duties such as tracking data in CRM’s, updating database information, pulling reports, ordering supplies, donor mailings, organizing receipts, scheduling travel and meetings and working on special projects for the team as needed. Independent judgment is required to plan, prioritize and organize a diversified workload.
Primary Duties:
To be a minister of the gospel of Jesus Christ to co-workers, clients and ministry partners.
Actively participate on the team in a manner aligned with scripture including, but not limited to, praying for and with other team members, sharing scripture in daily activities and leadership, modeling the character of Jesus Christ in interactions with team and any external clients, partners, vendors, etc.
Align team dynamics, internal and external processes, and final product of team’s work with Biblical principles and with Lifeline’s Core Values.
Provide administrative support to the development team and leadership, including scheduling meetings, coordinating travel and accommodations, preparing meeting materials, and managing correspondence.
Support the team with financial tracking, including but not limited to submitting and tracking purchase orders, check requests, receipts, invoices, and reimbursement requests.
Operate the donor database and other development systems to track donor interactions, gifts, and prospect research. Ensure data integrity and confidentiality.
Organize and prioritize information and calls, open mail, and maintain record keeping systems for the team.
Serve as primary point of contact and manager for all activities, meeting agendas / resources, scheduling, and project timelines for the Sr. Director and VP of Advancement.
Organize the calendar for the Vice President, as well as keeping the VP punctual and aware of all scheduled appointments.
Upload all donor giving and contact information to the CRM on a daily basis. Ensures the integrity of all personal information. Liaison between Development and Finance teams regarding any donor gifts.
Maintain accurate information related to all fundraising activities in CRM.
Conduct monthly, quarterly and annual reporting regarding various metrics related to Development.
Pull reports related to stewardship and oversee Executive Assistant as they execute related admin such as mailing donor packets, acknowledgment receipting, anniversary letters, and monthly donor tracking. Ensure accurate data throughout entirety.
Maintain operations of donor stewardship systems and processes to ensure timely and accurate deliverables. Work closely with all the Lifeline state offices to properly care for our donors and partners to the best of our ability.
Support all Directors in reference to donor giving history being accurately uploaded into CRM; unified as a team member supporting the same mission.
Oversee merchandise process. Including fulfilling new orders, tracking and ordering inventory, managing the point-of-sale website, and selling of products.
Assist with events, campaigns, donor, or grant projects as needed.
Required to attend all Birmingham fundraising events to the full extent and participate as the Events Manager sees fit.
Handle weekly bulk mailing to donors and Amazon orders for the team.
Attend all ministry sponsored special events, trainings, staff retreats, etc.
Represent the ministry in a professional manner in and away from the office.
Maintain good working relationships with co-workers, including resolving all disputes in a Biblically prescribed fashion. This job description provides a general outline of the key responsibilities expected of the Director of Development Operations. Duties may evolve and change over time based on the needs of the organization.
