Position Summary The Housing Specialist is responsible for supporting the overall administration and daily operations of the College’s residence halls. This position is integral to promoting a safe, inclusive, and supportive residential environment that complements the academic and co-curricular mission of the institution. Additionally, the Housing Specialist provides essential administrative assistance to the Housing Director, contributing to the effective management of office operations through a variety of clerical, organizational, and coordination tasks. Essential Duties and Responsibilities At a minimum, the essential functions of this position shall include: Develops and maintains residence hall communities that promote living/learning environment in accordance with the mission, vision, and goals of the College.
Provides administrative support to the Housing Director, including scheduling meetings, preparing documents, and maintaining organized records. Assists in maintaining accurate housing records and databases, including student assignments, occupancy reports, and billing information.
Supports the coordination of move-in/move-out processes, room condition tracking, and key inventory.
Effectively balances multiple tasks and shifting priorities in a fast-paced office environment.
Assists with supervising a staff of Resident Assistants (RA), if applicable. This includes holding staff meetings, completing evaluations, and fostering individual growth. Works collaboratively with Campus Directors, Student Services, and Academic Services departments to develop and promote co-curricular activities to better link the student educational experience with other interests which include campus/community involvement. Assists with recruitment, selection and training of the housing student staff, if applicable. Builds relationships with residents by being accessible and visible throughout the residence hall. Communicates and maintains proper rules of conduct within the residence halls. Provides assistance to students regarding their concerns, including but not limited to roommate conflicts, room relocations, and community concerns. Encourages and supports a multicultural environment within the residence halls through community building and programming efforts. Serves as a liaison with facilities and maintenance personnel to maintain the physical condition of the residence halls. Implements programing to assist with the academic, emotional, personal and social development of the residential students, as well as the greater college community. This includes planning and implementing programs, advising RAs in their programming efforts and maintain accurate programming records.
Ensures the proper opening and closing of the residence halls at specified breaks and at the start and end of each semester. Participates in student onboarding, enrollment and retention efforts across the college. Assists with the development of the Residence Life programming plan and assist staff by ordering/tracking resources, attendance, budget and feedback. Supports in Community Standards and Policies Violation (CSAP) Processes. Works with third party vendors as needed. Makes calls related to but not limited to, enrollment, housing application status, current resident check-up. Directs students through the application process. Works enrollment programs and help direct prospective students. Interprets housing information and be able to answer questions in person, via email and on the phone. Provides administrative support as needed to the other college departments (student services, academics, etc.). Serves in an on-call rotation, providing immediate response as appropriate and/or promptly refers residents to appropriate campus resources in areas of mental health, conflict resolution, academic issues, personal or disciplinary problems. Complies with ACCS and College policies, as well as state and federal laws. Ensures the positive promotion of the College and integration of all campuses within the College.
Is prompt and punctual in reporting for work, meetings, and office hours. Performs other duties as assigned. Qualifications Required Qualifications Bachelor’s degree from a regionally accredited institution OR equivalent recent relevant full-time work experience (two years of full-time recent relevant work experience for every one year of college). Proficiency in Microsoft Office 365. Proficiency in written communication skills. Ability to work well with others. Preferred Qualifications One year of related work experience.
