Position Summary The primary task of the Student Affairs Program Director is to serve as the initial point of contact for the Student Affairs Division, focusing on strong customer service and performing administrative and support duties required for the Student Affairs Division. The individual in this position must be flexible with scheduling to ensure complete coverage of the office and to aid others in meeting division needs. Assignments require the use of Microsoft Office, Banner, Degree Works, and other software as needed. The Student Affairs Program Director will also be responsible for providing functional and technical expertise supporting DegreeWorks. The Director will collaborate with academic units and advisors in support of academic success and by maximizing DegreeWorks’ system functionality.

Salary:

 Appropriate placement on the Alabama Community College System Salary Schedule C3: (Salary range: $45,555 – $95,629)

Essential Duties and Responsibilities The duties and responsibilities of this position include, but are not limited to, the following: Coordinate DegreeWorks for the College, providing functional and technical expertise for students, faculty, and staff.
Provide training and support for academic advisors and faculty on the DegreeWorks system.
Coordinate the Maxient case management system:
Organize and update the student reporting landing page on the College’s website
Receive and route incoming reports, including student conduct reports, Title IX claims, Bison Cares, Mental Health Awareness requests, and general student complaints
Manage student case files
Provide case management assistance to the Dean and Associate Dean of Student Affairs, SUSCC Police staff, Bison CARES and the Mental Health Awareness Team
Greet and assist students, visitors, and college personnel with a helpful and positive attitude, providing information and resolving issues as appropriate.
Assist the Dean of Student Affairs and/or direct calls to appropriate departments/persons.
Maintain the filing system for the Office of the Dean of Student Affairs, filing correspondence and other documents according to established rules of records management.
Create documents/reports as directed.
Maintain the Google Student Affairs Division calendars well as the Administrative Calendar on the web. Contact the copier/printer service supplier for maintenance issues and toner and ink cartridge orders.
Assist the dean with scheduling student and other appointments.
Work with the Dean of Student Affairs and the Associate Dean of Enrollment and Retention to update the student handbook and catalog annually for the Student Affairs division.
Create and assist with updating policy handbooks as needed. Create email groups and GroupMe groups.
Assist in maintaining the Student Affairs division web pages.
Prepare College Reports for

ACCS/SACSCOC

as assigned by the Dean of Student Affairs.
Collaborate with the Coordinator of Enrollment to promote department events. Maintain physical and electronic event files for each department as documentation for SACSCOC. Files should include proof of participation, documentation of increased participation if applicable, photos, flyers, and other pertinent documents.
Perform meeting and event preparation and setup.
Take, transcribe, and distribute minutes for meetings as needed.
Assist with special assignments such as college events and grants when appropriate.
Reserve rooms as needed for Student Affairs division events/meetings.
Use Ellucian Reporting software to build required reports for the Student Affairs division. Perform other duties as requested by the supervisor.
Create and edit grant support letters, reference letters, job descriptions, and interview questions.
Collaborate with the Coordinator of Advising to publish and update online components of the college’s ORI 101 class.
Collaborate with the Coordinator of Advising to publish and update information for the First-Year Student Experience. Qualifications

MINIMUM QUALIFICATIONS

Master’s degree from an accredited college or university is required. Three (3) years of clerical or office-related experience are required.
Experience using DegreeWorks and Banner is required.
Experience working across multiple academic disciplines with knowledge of Academic Transfer, Technical, and Health Science programs is required.
Proficiency in the use of Microsoft Office. The ability to communicate effectively.
