The Assistant Registrar assists with a broad range of academic records and enrollment functions, including working with unique student populations such as international, military, concurrent enrollment, and PACE students. This position assists with transcript evaluations, registration processes, graduation audits, and supports faculty and academic departments in maintaining accurate academic records. The Assistant Registrar also serves as a VA Certifying Official and Principal Designated School Official (PDSO), ensuring institutional compliance with applicable federal regulations.

Key Responsibilities:

Regulatory Compliance and Institutional Representation Serve as the Principal Designated School Official (PDSO), supporting international students by ensuring compliance with SEVP regulations and maintaining accurate data in SEVIS. Act as a VA Certifying Official. Academic Records and Registration Maintain accurate and compliant student records in alignment with FERPA and institutional standards. Assist with the evaluation of transcripts for admissions and transfer credit. Coordinate and manage PACE enrollment processes, ensuring accurate registration, documentation, and compliance with program requirements. Record and manage faculty grade submissions and ensure timely updates to academic records. Conduct graduation audits to confirm students meet degree completion requirements. Process course withdrawals in accordance with institutional policies. Provide student registration assistance and troubleshoot registration-related issues. Student Support and Collaboration Coordinate with concurrent institutions and students to collect entrance exam scores, transcripts, and other academic credentials for course enrollment. Serve as a key contact for international, military, concurrent, and other designated student populations, offering support in academic, cultural, and social matters. Collaborate with academic advisors, faculty, and campus offices (Admissions, Financial Aid, Student Services, etc.) to ensure coordinated support for unique student populations, including international, military, and concurrent enrollment students. Organize and facilitate orientation sessions, workshops, and events specifically designed to promote inclusion, retention, and academic success among unique student populations. Staff Supervision and Additional Duties Supervise and manage student worker staff to support departmental operations. Other duties as assigned by the Registrar.

Qualifications:

Bachelor’s degree in administration, education, or a related field required. Knowledge of academic policies, transcript evaluation, and federal regulations (e.g., SEVIS, GI Bill). Strong organizational and multitasking skills with attention to detail. Ability to communicate effectively with students, faculty, and staff. Ability to work independently and collaboratively within a team. Ability to pass a background check.
