This hybrid position is ideal for a highly organized, detail-driven professional who thrives in a fast-paced, collaborative environment and is eager to make a lasting impact. Reporting to the Foundation Manager, the Foundation Specialist works closely with the Executive Director to execute a multi-year development strategy, including direct support for the Foundation’s capital campaign. The role spans donor data management, event logistics, fundraising operations, financial tracking, and internal and external communications. In addition, 25% of this role is dedicated to providing administrative support for federal/ state grants, helping to keep timelines, deliverables, and reporting on track. Essential Duties and Responsibilities Fundraising & Stewardship Support the Executive Director and Foundation team on capital campaign and other fundraising activities Work with the fundraising team to develop and implement stewardship strategies Maintain stewardship contact with funders, ensuring acknowledgement letters are sent within 48 hours of gift receipt Ensure appropriate recognition benefits are fulfilled for corporate and individual funders Create customized sponsorship proposals and materials as needed. Database & Gift Management Maintain the integrity and accuracy of the Foundation’s donor database (Raiser’s Edge NXT) Verify that all gifts are tracked and processed according to AFP ethical standards Track pledges, gifts, and inkind donations to ensure accurate and timely reporting Financial Tracking & Reporting Maintain the Foundation’s internal operating, restricted and capital budgets Track revenues and maintain realtime accounting of all gifts raised Code and submit expenses to the Finance team in a timely manner Meet monthly with Finance representatives to reconcile revenues and expenses Events & Communications Coordinate logistics for Foundation events and assist in execution Create and maintain presentation materials and promotional content to support Foundation initiatives, events, and stakeholder communications Track and manage inventory of printed and digital collateral used to promote the Foundation’s mission and programs Assist with the development and distribution of donor communications and marketing collateral Volunteer Engagement Build and maintain a volunteer base by developing meaningful opportunities for individuals and groups Coordinate volunteer communications and logistics for Foundation events and projects Grants Administration (25%) Provide administrative support for federally/statefunded grants Help keep the grantfunded project team aligned with the grant timeline and deliverables Collaborate with both the grantfunded and foundation teams to create grant reports and manage surveys and other documentation
Administrative and Strategic Support:
Provide administrative support to the Executive Director and Foundation team in executing annual fundraising plans and campaigns Assist in tracking progress toward fundraising goals and preparing routine reports for the leadership team and board Support the implementation of strategic initiatives by identifying process improvements and contributing to team planning discussions Compensation $44,000 49,000 per year. Discounts on Pet Insurance and other items such as phone plans, movie tickets, etc. Education and Experience – Required and/or Preferred Bachelor’s degree required 24 years of administrative office experience Prior experience working in nonprofits, organizing special events, and supporting fundraising efforts Knowledge, Skills, and Abilities Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Experience with fundraising and donor management software (Raiser’s Edge NXT preferred) Strong project management, planning, and organizational skills Demonstrated ability to work independently while managing multiple priorities and deadlines Effective verbal and written communication skills across all levels of the organization Ability to gather and apply relevant business intelligence to support goals Selfmotivated and capable of working with minimal supervision Flexible and adaptable to change and shifting priorities Ability to work occasional evenings and weekends with advance notice Must pass a Level II fingerprintbased background check Why Join Us?
