Your responsibilities will include greeting prospective students and families, answering phones, and offering exceptional customer service to visitors and callers, updating applicant records, and assisting in various administrative duties to ensure the smooth functioning of the admissions office. Essential Functions Welcome and assist incoming visitors, ensuring professional and courteous experience. Handle incoming calls efficiently, troubleshoot, answer questions, and take accurate messages when necessary. Respond to inquiries regarding office activities with accuracy and professionalism. Perform routine administrative tasks following department policies and procedures. Occasionally draft general correspondence such as memos and letters. Maintain organized filing systems for assorted documents. Manage inventory of office supplies, ensuring availability and reordering as needed. Help train and supervise assigned work-study students in office operations. Manage the office incoming and outgoing mail. Perform other duties as assigned by director or vice president. Characteristics Duties and Responsibilities Maintain a positive and welcoming impression. Input visit and student information accurately into the admissions software systems. Update electronic files for student applicants. Provide general admissions information and directions to prospective students. Assist with processing electronic transcripts and test scores. Support office operations and CRM as needed. Assist with mailings.

POSITION QUALIFICATIONS/SPECIFICATIONS

Associate degree preferred. Previous clerical, office, and administrative experience. Excellent customer service skills, including using tact, patience, and courtesy. Detail-oriented with the ability to thrive in a fast-paced environment. Proficiency with office practices and procedures. Strong interpersonal and communication skills. Professional appearance and demeanor. Ability to handle confidential information with discretion and integrity. Self-motivated with the ability to prioritize tasks and meet deadlines. Physical ability to lift and move up to 10-20 pounds occasionally.

Work Environment/Physical Demands:

Primarily M-F 9 a.m. to 5 p.m. with occasional early/late evening events, and weekend. Office environment with occasional campus events Mobility and occasional lifting required.

Travel:

Rare but occasional travel to high school, college campuses or events in the metro area to assist admissions counselors with events and college fairs when needed.
