General Description (Purpose and Function): The Associate Director of Student Activities and Student Organizations serves as an essential member of the Student Life and Student Center Complex team and has direct reporting responsibility to the Sr. Director of Student Activities and Student Organizations and Student Center Complex programs. The mission of the Department of Student Activities and Student Organizations is to provide students with purposeful and inclusive programs, resources, and experiences that enhance the UM community through learning, engagement, and upholding campus traditions. The department serves as an integral part of the Division of Student Affairs and works closely with the Student Center Complex, William R. Butler Center for Volunteer Service and Leadership Development, Department of Orientation and Commuter Student Involvement, Multicultural Student Affairs, the LGBTQ Center, and the Rathskeller.

Primary Duties and Responsibilities:
  • Directly supervise Business & Financial Operations Manager and provide administrative oversight for Sr. Financial Assistant.
  • Provides oversight for all Department of Student Activities & Student Organizations student employees, including hiring, training, and scheduling.
  • Serves as the primary administrator responsible for the management, oversight and advising of the Committee on Student Organizations (COSO). COSO is responsible for the governance of 340+ student organizations.
  • Serves as the advisor to the Student Activity Fee Allocation Committee (SAFAC) responsible for the distribution and management of over $1.

4 million in funding to student organizations. Attends all SAFAC meetings; recruits and trains members; oversees all aspects of the allocation process; and works closely with the Controller’s office and other university entities regarding account management in Workday for approximately 340+ student organizations that receive funding.

  • Coordinates the review and approval process for new student organizations and the annual registration renewal process for student organizations; maintains updated records on student organizations (database and files); manages student organization goal setting and evaluation processes; financial management and oversight of all COSO budgets; recruits and trains COSO members.
  • Acts as the main manager of Engage, the University’s student organization management software program. Coordinates training and marketing efforts for students and staff related to the use of the software and communicates technical needs with University of Miami Information Technology staff.
  • Plans and executes the annual Student Organization Leadership Development (SOLD) Workshop, a one-day required training program for organization presidents.
  • Coordinates the annual Student Organization Achievement and Recognition (SOAR) Awards Ceremony.
  • Serves as a resource to student groups and their advisors for contract procedures and review. Manages all simple contract agreements for student organizations for all campus events. Works closely with Financial Operations and the Office of General Counsel as necessary regarding the execution of contracts.
  • Acts as lead Department consultant for student organizations, student organization advisors, and campus departments regarding organization management, budgeting, program and event planning/management, risk management, University business practices (Purchasing, Accountants Payable, etc.

), and University policy. Represents the Department in organization involvement presentations during freshman experience classes and other University functions that promote the development of student leaders.

  • Coordinates and leads an Advisor Workshop series for student organizations faculty and staff advisors.
  • Advises Canefest Committee in the creation, planning, execution and budget management of the Canefest Fall Involvement Fair.
  • Creates, revises and enforces policies related to student organization life, working closely with the Office of the Vice President for Student Affairs, University Risk Management, General Counsel, and the Dean of Students Office.
  • Reviews and approves all student organization travel registration forms.
  • Coordinates marketing and promotional efforts on behalf of the Department of Student Activities and Student Organizations
  • Manages the student organization leader and student organization advisor listservs.
  • Coordinates SASO involvement in various initiatives such as UMX and Open Houses.
  • Assists with department-wide programs, including Homecoming, Commencement, University Lecture Series, Convocations, concerts, and special events.
  • Performs additional responsibilities as delegated by the Senior Director of Student Activities, Student Organizations and Student Center Complex Programs.
  • Other duties as assigned.

  • Three (3) to Five (5) years of progressive related experience in Higher Education/Student Affairs or related field.
  • Expectation to work some nights and weekends throughout the year.
