With locations in Florida, New Jersey, Indiana, and launching in Massachusetts; we deliver evidence-based clinical care in a supportive, structured environment. Our team is committed to providing trauma-informed, client-centered services that promote lasting recovery. Position Overview We are seeking a highly organized and compassionate Admissions Coordinator to support our facility’s admissions operations. This key role serves as the initial point of contact for patients, families, and referral sources, ensuring a seamless admissions process and providing critical information that supports informed treatment decisions. The Admissions Coordinator will manage inquiry calls, conduct initial screenings, and maintain accurate data entry into Salesforce and other systems while representing Boca Recovery Center in a professional, empathetic manner. Key Responsibilities Admissions Process Oversight Conduct initial telephone screenings of potential patients and referral sources to ensure alignment with program admission criteria. Effectively manage inbound inquiry calls, answering questions about the treatment program, admissions process, and what to expect during treatment. Provide patients and families with information to assist in decision-making, preparing for admission, and understanding the treatment experience. Overcome client or family objections by identifying concerns and offering supportive resolutions. Communication & Data Management Input accurate demographic and admissions data into Salesforce and maintain up-to-date lead tracking, opportunity status, and follow-up call logs. Utilize Salesforce lead rating system and ensure proper notation for wrong numbers and other relevant updates. Respond to emails and communications in a timely and professional manner. Ensure all calls and messages are answered courteously, routed appropriately, and documented accurately. Professional Representation & Relationship Building Represent the facility to potential patients, referral sources, and agencies in a professional, compassionate manner that reflects positively on Boca Recovery Center and its staff. Build rapport with clients and families during the admissions process to create a positive first impression and support engagement. Collaborate closely with the multidisciplinary team to support the admissions process and coordinate seamless handoffs. Compliance & Confidentiality Protect the confidentiality of patients and staff in compliance with federal, state, and facility privacy policies and procedures. Access Protected Health Information (PHI) only as necessary to perform job duties. Report any concerns regarding patient privacy policies to supervisors without fear of retaliation. Demonstrate compliance with knowledge and competencies related to: Addiction and substance use disorders Dual-diagnosis issues Trauma-informed care Suicidality/Homicide response procedures based on role Other Duties Use a computer to generate reports, correspondence, and other documents with a focus on accuracy and professionalism. Demonstrate willingness to accept and utilize supervision, address supervisor-identified concerns, and complete all tasks with a high standard of quality. Perform additional tasks as assigned by the supervisor. Qualifications/Required Experience At least one year of experience coordinating patient admissions in a chemical dependency treatment setting preferred. Strong knowledge of addiction treatment modalities, including 12-Step Recovery programs. Ability to work collaboratively within a multidisciplinary team. Exceptional interpersonal, communication, and problem-solving skills. Proven organizational abilities and attention to detail, with the capacity to manage multiple tasks efficiently. Competency in data entry and CRM systems, preferably Salesforce. Understanding of HIPAA compliance and confidentiality requirements.
