Job Posting Title Assistant Provost for Academic Operations Job Description Summary Administrative Exempt Job Description Responsible for a wide variety of Human Resources activities for faculty including overseeing staffing, hiring and contract related activities, compensation, and non-sabbatical leaves. Advises and partners with the Provost and Deans on these matters. Serves as the liaison to Human Resources for faculty. Primary Position Responsibilities Manages the Human Resources related activities for faculty including managing all hiring and contract related activities; overseeing the faculty salary increase processes including administering the faculty salary scales; managing and advising Provost, Deans, and faculty on non-sabbatical leaves (medical, parental, unpaid, etc.) Acts as the liaison between the Provost’s Office and Human Resources regarding faculty personnel issues. Responds to faculty inquiries regarding salary, medical and parental leaves, and long-term disability. Serves as liaison for all faculty leave claims and questions from Lincoln Financial claims manager. Advises Provost and Deans on faculty appointment, contract, and compensation issues. Partners with Provost and Deans on faculty recruitment and staffing. Administers Early Retirement Program. Partners with Provost on retention and retirement agreements Manages faculty data and statistics; collaborates with Office of Institutional Research on external surveys (CDS, AAUP, IPEDS). Oversees all administrative Human Resources processes for faculty and the work done by the Faculty Information Specialist including the production of contracts, data entry, language assistants’ program, file maintenance (electronic and physical), and the faculty roster. Provides the Provost and Deans with academic staffing and salary reports. Acts as the liaison with faculty, the Advisor to International Students and Scholars/Director of Slater International Center and outside counsel on visa and immigration issues. Manages the process for all faculty committee work (appointments and elections). Provides guidance and support to the Agenda Committee and the Advisory Committee on Academic Staffing (ACAS). Collaborates cross-functionally with Chief Human Resources Officer, VP for Finance and Administration, AVP for Financial Planning and Budget, General Counsel, and other senior leaders. Partners with the Clerk of the Committee on Faculty Appointments and the Manager of Academic Budgets and Administration on relevant matters. Supports special projects in the Provost’s Office, as needed. Performance Profile The Provost and Deans receive the information needed to make decisions; information is presented in a clear, coherent manner, with adequate background to enable understanding. Faculty and departments receive similarly clear and timely information. Contract, appointment, and salary matters for faculty are processed accurately. All work is completed in a timely fashion. Supervisor Responsibilities Faculty Information Specialist Education Required Bachelor’s degree required. Master’s degree preferred. Experience Required 7-10 years’ experience, including meaningful background in higher education. Skills and Abilities Required Knowledge of the operations of an academic institution. Excellent verbal and written interpersonal communications skills. Strong analytical skills to evaluate and convey faculty-related data and statistics. Experience in technology systems including experience with Microsoft Office suite (Excel, Word, and Access) and Workday.
