Job Summary The Admission Office Coordinator is the first point of contact for guests visiting Millsaps’ administrative offices and the admission office. The position manages the main College phone line as well as the main admission phone line, manages the main admission email, maintains the main point of electronic contact with the admission office, executes elements of event planning and implementation, and supervises the Presidential Ambassador to provide exceptional service to all campus visitors. The position reports to the Director of Admission and also provides support for the counseling team. The position helps to coordinate the schedules of admission guests, provides support for general office tasks and performs other duties as directed by the Director of Admission. This position works on-site in Jackson, MS. Regular work hours are from 8:00 am – 4:30 pm. Evening and night hours and occasional weekend work will be required. Job Duties Answers the main College phone line as well as the admission office main phone line. Respond appropriately and transfers calls to the correct campus office or correct admission staff member. Manage the main admission email account. Respond appropriately and forward emails to the respective campus office or admission staff member. Welcome students, guest and visitors with a high level of customer service. Coordinates the execution of daily individual admission visits, to include: Maintaining campus visit requests, which requires the ability to work in the Slate CRM Events and Mailings modules. Creating campus visit schedules in a timely manner Contacting the appropriate members of the admission office and campus community to participate in the schedule for a visiting student and family Cheerfully greeting the guest and family as they arrive and making sure they are comfortable and welcomed. Ensuring the schedule for the day is maintained in a timely manner Maintains the hospitality area for guests (water, coffee, napkins, etc.) and stocks this area daily (with assistance from the Presidential Ambassadors). Executes the daily supervision of Presidential Ambassadors (front desk work, special projects, tour coverage, etc.) Executes elements of the planning and implementation of events (campus space reservation, campus and community partner communication, Slate scheduling and mailings, registration, nametags, required paperwork, phone calls, etc.) Maintains office supplies and equipment, reserves conference room upon request, collects and delivers department/division mail daily. Performs other tasks as directed by the Director of Admission and the VP for Enrollment. Qualifications Bachelor’s Degree in a relevant field, or an equivalent mix of education and experience 2 years of office coordinator or front desk supervisor experience Proficient in Windows and Microsoft Office (Word, Excel, Power Point, etc.) Ability to learn new software platforms, experience with online programs and/or social media a plus Ability to perform responsible and difficult administrative and clerical work involving independent judgment and personal initiative Proven organizational skills with the ability to multi-task and remain calm under pressure Excellent oral and written communication skills including the ability to accurately compose letters and other informational materials in a grammatically correct style Creative problem-solving skills and the ability to take initiative and work with minimal supervision Willingness to perform tasks at all levels of competency in order to get the job done Exceptional attention to detail Strong telephone etiquette Ability to manage relationships with senior mangers, academic stakeholders, parents and students from various cultural backgrounds Physical Requirements Able to lift and carry up to 25 pounds without assistance. Prolonged periods sitting at a desk and working on a computer. Occasional stooping, bending, lifting and reaching are required. Manual dexterity needed for keyboarding and other repetitive tasks.
