Part-Time (10-15 hours per week)

Job Summary:

The Resource Development Assistant plays a crucial and active supportive role in the organization’s efforts to secure financial and other resources. This position is central to assisting with all facets of fundraising, donor stewardship, communications, and special projects, ensuring the organization meets its revenue goals and sustains its vital mission. We’re looking for someone highly organized, detail-oriented, with strong communication skills, and a genuine passion for our cause and community.

Key Responsibilities:
Fundraising & Campaign Support:

Actively support our fundraising efforts, including our Capital Campaign Management. This involves coordinating and scheduling meetings for the Chief Development Officer (CDO), other key staff, and committee members, effectively “herding the cats” to keep the campaign on track. Assist with sponsor solicitation for key events, such as the Back to School Kick-off event and the Golf Tournament. Process donations efficiently and generate timely, accurate acknowledgment letters and tax receipts. Maintain and update donor records in the CRM database (e.g., Salesforce, Raiser’s Edge, Bloomerang) with accurate contact information, donation history, and all interactions. Assist with donor segmentation, list management, and preparing lists for appeals, events, and various communications. Generate reports on donor activity, fundraising progress, and other key metrics as requested by the team.

Marketing & Communications:

Assist in the implementation of the Social Media and Marketing Plan in collaboration with the Communications Manager. Draft and meticulously proofread a variety of communications, including compelling donor appeals, personalized thank you notes, engaging newsletters, and donor reports in collaboration with the Communication Manager. Gather photos, videos, and stories from Onslow Club sites to be used in marketing and fundraising materials. Ensure that all photography permission forms for our youth are current and on file for all photography used in marketing and fundraising materials. Support PR & Marketing efforts by developing a list of TV, radio, magazine, and billboard companies in Onslow County and solicit complimentary spots and ads.

Event Coordination:

Provide comprehensive administrative support for fundraising campaigns, including direct mail, online appeals, and annual giving initiatives. Lead the coordination of key events such as the Back to School Kick-off event and the Kick-off event for the Capital Campaign. Assist with the overall coordination and logistics of special events, handling tasks like managing invitations, tracking RSVPs, coordinating venue arrangements, and providing on-site support. Support volunteer recruitment and management efforts specifically for fundraising initiatives.

Board & Stakeholder Engagement:

Assist with the recruitment of board members, including scheduling meetings with prospective candidates and coordinating related communications. Help schedule meetings with stakeholders for the CDO, other staff, and committee members to advance organizational goals.

General Administrative Support:

Provide general administrative support to the Resource Development team, including scheduling meetings, managing calendars, and making travel arrangements when needed. Perform other duties as assigned to ensure the smooth operation of the Resource Development department.

Qualifications:
Education:

A Bachelor’s degree in a related field (e.g., Nonprofit Management, Communications, Business Administration, Public Relations) is preferred, or equivalent work experience will be considered.

Experience:

1-3 years of experience in an administrative or support role, ideally within a fundraising, development, or non-profit environment.

Skills:

Proficiency in Google Workspace (Docs, Sheets, Slides, Meet, Drive, Gmail & Calendar). Experience with CRM or donor management software (e.g., Salesforce, Raiser’s Edge, Bloomerang) is highly preferred. Outstanding written and verbal communication skills, with a strong ability to compose clear, concise, and compelling content. Exceptional organizational skills and acute attention to detail, coupled with the ability to manage multiple tasks and deadlines simultaneously without sacrificing quality. Strong interpersonal skills and the ability to build positive relationships with diverse stakeholders, including donors, volunteers, and internal staff. Proven ability to work both independently and as a valuable member of a collaborative team. High level of discretion and the ability to handle confidential information with utmost professionalism. Strong problem-solving skills and a proactive, can-do approach to work.

Physical Demands:

Typically, work is performed in a standard office environment. May require occasional lifting of up to 25 pounds for event setup or material distribution. Ability to sit or stand for extended periods, use a computer, and communicate effectively. Some evening and weekend work will be required for special events or to meet critical deadlines.
