Full Job Description Overview:

The Residence Manager is a vital leadership role responsible for overseeing all functional aspects of the Cary Ballet Student Residence . This individual ensures the smooth day-to-day operation of the residence, maintaining a safe, supportive, and organized environment that fosters the well-being, growth, and success of the student residents. The role requires strong operational oversight, compassionate leadership, and clear communication with students, families, and staff to ensure a positive residential experience.

Key Responsibilities:

Residence Operations Management Oversee all aspects of the residence’s operations, including facilities management, housekeeping, security, and daily logistics. Follow and implement existing systems and procedures to ensure the residence functions efficiently and effectively. Manage room assignments, monitor occupancy levels, and coordinate move-in/move-out processes for students. Maintain cleanliness, organization, and readiness of all common areas, ensuring a welcoming and safe atmosphere. Partner with maintenance personnel or contractors to address repairs, conduct routine inspections, and ensure all systems (HVAC, plumbing, security, etc.) are operational. Monitor residence budgets, manage inventory, and order necessary supplies, ensuring fiscal responsibility and cost efficiency. Prioritize the safety and security of all residents by implementing and maintaining protocols, including emergency preparedness plans, fire drills, and incident reporting procedures. Monitor resident behavior and physical well-being, providing supervision and enforcing house rules, safety policies, and curfews. Act as a mentor and point of contact for students, fostering a supportive and respectful environment where students feel heard and cared for. Mediate conflicts between residents when necessary and address disciplinary issues in a fair, professional, and proactive manner. Coordinate with medical professionals, staff, and families in the case of illness, injury, or emergencies, ensuring students’ needs are met promptly. Family and Staff Communication Serve as the primary liaison between families, students, faculty, and residence staff to facilitate open, clear, and timely communication. Provide regular updates to families on residence operations, student well-being, and any issues that require their attention. Collaborate with Cary Ballet Conservatory leadership and staff to address student needs, scheduling changes, and residence-related concerns.

Maintenance and Cleanliness:

Oversee and ensure the cleanliness and organization of all apartment units and common areas. Conduct regular room checks to maintain a neat, orderly, and sanitary environment. Manage and maintain residence vehicles.

Operational Support:

Engage in the day-to-day operations of the residence, seeking out and contributing to projects that improve the Residence and strengthen customer relationships.

Professional Conduct:

Uphold a high standard of professionalism, ensuring that no information or ideas communicated negatively affect the Employer or its business.

Coordinate with Cleaning Services for Common apartment once every two weeks, some apartment students every month. 4. Prep Guest Room whenever a guest will be using it with cleaning space (using cleaning service) and ensure they have fresh linens (bed & towels
  • do laundry), toiletries and other amenities 5.

Laundry for kitchen towels (wash, dry and fold) 6. Keep the Residence Manager apartment clean and organized. 7. Create a timetable (FamilyWall) with 2 students per night to clean the common apartment after dinner, supervise the cleaning after and finish anything undone. 8. Use the cart in the garage to take to the trash bin area the cardboard and any bag of trash that exceeds 10 pounds. We get a fine of $25 if a trash bag unlocked or heavier than 10 lbs is left outside the apartment for the trash valet. 9. Report to the students a day before when they will have cleaning service to ensure they clear out the flor of their belongings. 10. Report to the Office and Finance every time cleaning service is provided to request payment to the provider and charges to the students 11. Keep the common apartment decorated to every seasonal occasion.

Maintenance:

1. Report maintenance request on Cary Greens website, by email or by phone calls, 2. Room Inspection to every apartment once every two weeks if apartments are usually clean and organized, shorter period if the apartment is not. Teach the students chores routines, create a chores calendar if necessary and supervise the execution. 3. Check all the mailboxes of each apartment once every two weeks, destroy junk mail and return to senders those that don’t belong to the students on the program. 4. Charge ringdoor cameras whenever necessary, each student apartment has one outside their front door 5. Keep updated apartments furniture inventory and replace anything is necessary 6. Keep open communication with Cary Greens Office and comply with all their rental policies Residence Electronics (Phone & Computer) 1.They must stay in excellent condition. 2. They are exclusively used for Residence Program purposes. No personal information should be in any of these devices 3. Residence Manager is responsible to handle back to CBC these devices in the same conditions they were given.

Meals:

1. Keep the pantry filled up with students’ requests for snacks, breakfast and lunch. They posted their requests on the Family Wall List. We buy groceries at Costco & Harry Teeters, and last minute ingredients at Lowes Food. We buy only supplies that we can provide for everyone including those with dietary restrictions, but nothing exclusive or over the budget. 2. Keep the Coffee bar filled with coffee pods, water, hot cocoa, and tea. 3. Buy groceries list provided by Chef Jen for the week dinner 4. Setting up dinner on the days the chef is not working. The dinner has to be warmed up and set up for the kids to eat, send email in group chat informing what is for dinner and time that is ready. 5. Prep a green salad or toast bread if needed 6. It is highly recommended to stay with them during dinner to observe who is going to dinner and chat with them about their day. 7. Ensure that all dietary requirements are taken care of

Mailing:

  • Pick up any mail outside of the common apartment and place them in the basket for this purpose in the pantry.

Students are responsible for picking up their package from mailing room 2. Check mailboxes, trash the junk mails, stamp “Return to Sender” to those from previous tenants and put them in the mail outbox 3. Keep all the mailing keys in a Box with original apartment keys. Make copies only of apartment keys for the students if necessary.

Sick Kids:

1. Supervise students reported as sick, check what are the symptoms, coordinate with parents if they need to see a doctor, assist them with accompaniment, transportation and getting their medication from the pharmacy. Coordinate with them and Chef Jen in case they want something specific for dinner. 2. Make sure they email the school about absentees

Activities:

1. During the summer an Activity Weekly Calendar should be created and posted to keep the kids entertained outside the studio including any paid weekly outing 2. Minors should have an adult with them to go to the amenities of the complex such as the pool. Students must be 16 yo to go the Gym and with and adult never alone, 3. At the common apartments, they can have Arts & Craft, Birthday Celebrations, Movie Nights, Boardgame night, etc. 4. Other summer activities could be apartment decorations, costume designing contests using recycled materials, fantasy makeup contests, etc. Finance 1. Update report of Expenses vs Budget with receipts of each purchase and description 2. Take pic of receipts and move it to My Drive to share with Finance 3. Online orders receipt must be forwarded to Finance 4. Any Purchase other than groceries must get approved first by CBC Director 5. Physical receipt must be put in an envelope and place it in Finance Mailbox at the office Student/Parent Assistance & Conflict Solutions 1. Provide assistance to students with any of their needs that can affect their regular performance in the program such as taking them to take a SAT test, go to the barbershop, helping them get makeup, buy a flight ticket, registration for a competition, for an audition, getting winter clothes, etc. 2. Find solution to any conflict regarding roommates not getting alone, not helping with chores, being too messy, teaching them to use the dishwasher, washer and dryer, etc. 3. Offer support and attention to kids struggling with the program or with any personal issues 4. Infractions and Consequences according to the Residence Handbook. 5. Work Conditions and Requirements Live-In Requirement:

This position requires the Residence Manager to live on-site at the Cary Ballet Student Residence for the duration of the summer program. On-Call Availability:

The role requires the ability to be on-call as needed, including evenings, weekends, and overnight hours. This ensures a prompt response to any urgent matters, including student concerns, safety incidents, or facility issues.

Physical Responsibilities:
