Experience working with a HigherEd database software such as Banner, PeopleSoft, or other Similar Software
Work history of proficiency in written and oral communication.
Work experience showing strong organizational skills.
Demonstrated ability to build collaborative relationships.
License/Certification Required Preferred Qualifications
Master’s degree in a related field.
Two years of experience with Banner, or Admissions CRM
Experience in managing and leading professional Staff
Budgetary/fiscal management experience
Essential Duties and Responsibilities
The Associate Director of University Scholarships coordinates all merit and need-based university scholarships. This position works with the Associate Vice Chancellor to ensure we are leveraging university scholarships for new student recruitment and continuing student retention.
Manage and reconcile institutionally funded scholarship funds.
Manage, train, and support all designated staff.
Work with the Associate Vice Chancellor to propose new scholarship budgets
Coordinate with the Associate Vice Chancellor to understand and monitor the US operating budget.
Monitor federal, state, and institutional regulations regarding scholarship funding.
Propose policy improvements and work with the Associate Vice Chancellor to create/modify institutional policies as needed.
Keep track of third-party software options, including software being used at App. Support technical staff to ensure the functionality of all products meets App State standards.
Examine processes for ways to improve access to students and ensure we are compliant with any and all regulations.
Maintain a working group for all fund administrators and provide continual training to the group. Determine and manage access privileges for scholarship software and serve as primary campus contact to departments in projecting, tracking, and awarding scholarships.
Collaborate to develop technological solutions to streamline business processes.
Collaborate with the Associate Vice Chancellor and University Advancement on the identification of important scholarship initiatives.
Support the Associate Vice Chancellor to assist with sound fiscal modeling and management, with consideration of federal and state regulations for awarding scholarships and financial aid, to support the University’s vision and mission.
Distribute the University allocation budget notices to each awarding entity.
Create a centralized and coordinated presence for campus and college-based scholarships to increase awareness of scholarship opportunities, including a robust website for scholarship information.
Collaborate with the Dean’s office in each academic college, University Advancement (particularly donor services), the Office of Admissions, the Office of Student Financial Aid, University Communications, and the Division of Student Affairs.
Track scholarship commitments and expenditures. Provide projections of the Scholarship recurring costs to the Associate Vice Chancellor on a regular basis.
Consult with each entity on branding and recruitment practices
Maintain and oversee the setup for the scholarship database, Scholarship Universe.
Manage the application review and oversee the selection process for first-year and continuing-student scholarships.
Provide reports, analyze application data, and offer strategic information about scholarship trends to the Associate Vice Chancellor
Collaborate with the Office of Admissions and the Senior Assistant. Director of Communications in Financial Aid to market scholarship programs to high school students and high school counselors.
Ensure that the University Scholarships is following the vision, goals, and plan of the Institution, and the Office of Student Financial Aid and University Scholarships
Help others understand the purpose and need for these scholarships.
Other duties as assigned.
