•Stony Brook University Job Description Required Qualifications (as evidenced by an attached resume): Bachelor’s degree (foreign equivalent or higher). Two (2) years of full-time work experience. Experience with fundraising, philanthropy, alumni relations, donor cultivation, events, and/or stewardship practices. Experience working in a university, nonprofit and/or large hospital system.

Preferred Qualifications:

Experience creating and drafting fundraising communications. Experience using fundraising databases or CRM systems.

Brief Description of Duties :

The Stony Brook University Advancement Coordinator, Donor Experience supports Advancement’s mission by helping to establish and strengthen long-term relationships with donors through thoughtful stewardship, communication, and engagement. The Coordinator will be responsible for drafting donor communications, managing stewardship initiatives, and supporting donor-related events. They will work with the Donor Experience team, Advancement colleagues, and campus partners to support Advancement’s goals.

Relationship Management:

Develop a comprehensive understanding of the University Advancement, Donor Experience and Constituent Experience structure, including key stakeholders such as Advancement staff and campus partners. Collaborate with these groups to foster strong, lasting relationships with donors through stewardship efforts such as scholarship communications, donor impact storytelling, and recognition projects.

Communication:

Serve as a key point of contact for donor stewardship-related communication. Draft and coordinate both standardized and highly customized donor correspondence, including Presidential and Vice Presidential acknowledgments, memorial and honorary notifications, and other recognition letters. Write and support the creation of donor impact materials, including scholarship reports, endowment updates, donor lists, and donor wall content.

Project Coordination:

Track progress and manage timelines related to donor recognition and stewardship projects. Projects will include but are not limited to coordination of annual donor reports, donor acknowledgment workflows, impact storytelling, and scholarship reporting.

Administrative & Customer Support:

Provide administrative support to the Donor Relations team, including maintaining accurate donor records, updating databases, processing returned acknowledgments, and following up with donors as needed. Respond to inquiries regarding receipts, acknowledgment status, and other stewardship-related matters. Support donor recognition events by coordinating logistics and preparing materials.
