Description
The University Registrar is responsible for overseeing the management and operation of the Office of the Registrar at Claflin University. This position ensures the integrity of academic records and provides essential support to students, faculty, and staff in matters related to course registration, academic scheduling, and degree conferral. The Registrar works closely with academic departments, faculty, and administrators to ensure compliance with institutional policies, federal and state regulations, and the highest standards of academic and student services.

Duties and Responsibilities:

As defined by the American Association of Collegiate Registrars and Admissions Officers (AACRAO), the following duties and responsibilities are key components of the University Registrar’s role.
1. Management of Academic Records (35%): Maintain the integrity, confidentiality, and security of student academic records. o Oversee the creation and updating of student transcripts and academic histories. o Ensure compliance with institutional policies regarding grade reporting and academic standing.
2. Enrollment and Registration Services (25%): Supervise and coordinate course registration and scheduling for students. Work with academic departments to develop course offerings and class schedules that meet the needs of students and faculty. Ensure timely and accurate processing of add/drop forms, registration changes, and course overrides.
3. Degree Auditing and Graduation (20%): Manage the degree audit process, ensuring students meet graduation requirements. Oversee the certification of graduation for all students, including verifying that academic records are complete and accurate. Collaborate with the academic departments to resolve any discrepancies in student records prior to graduation.
4. Policy and Procedure Development (10%): Develop and update office policies and procedures to ensure alignment with academic and institutional goals. Ensure compliance with federal, state, and institutional regulations regarding student records and privacy (FERPA). Provide leadership in the implementation of new technologies or processes related to academic records.
5. Advising and Support (10%): Provide guidance and support to faculty, students, and staff regarding academic policies, records, and procedures. Serve as a liaison between the Office of the Registrar and other departments, including academic affairs and student services.

Physical Demands:

The University Registrar must be able to sit and work at a desk or computer for extended periods. Occasional travel may be required for meetings or professional development. Must be able to lift and carry materials up to 25 pounds (e.g., academic records, files, or equipment). Qualifications

Education, Licensure, and Certifications:
Required:

A Master’s degree in Higher Education, Student Affairs, Business Administration, or a related field. Certification or coursework in FERPA and student records management.

Preferred:

Previous experience with student information systems (SIS), preferably Jenzabar or similar platforms.

Knowledge, Skills, and Abilities Required:
Knowledge:

In-depth understanding of academic records management, degree audits, and student registration systems. Familiarity with AACRAO best practices and guidelines. Knowledge of FERPA and other legal requirements related to student records.

Skills:

Strong organizational and analytical skills. Exceptional communication and interpersonal skills. Ability to manage multiple priorities in a fast-paced environment.. Proficiency in Microsoft Office Suite and student information systems (SIS).

Abilities:

Ability to work independently and as part of a team. Ability to provide leadership and mentorship to staff within the Registrar’s Office. Strong attention to detail and problem-solving capabilities.

Level and Type of Experience:
Required:

Minimum of five years of experience in student services, including at least two years in a Registrar’s Office or similar higher education administrative position. Experience with academic advising, student record management, and graduation certification.

Preferred:

Experience in a leadership or supervisory role in higher education. Knowledge of Claflin University’s academic programs and processes.
