Job Responsibilities
Reporting to the Executive Director of Alumni Relations and Reunion Giving, the Associate Director of Alumni Engagement plans, markets, implements and provides data analytics on a variety of signature programs and events, including Homecoming, Alumni Reunion Weekend, the Legacy Program, regional alumni chapters and alumni community group events.
Oversees Homecoming and Alumni Reunion Weekend
Coordinates logistics, including reserving space and working with facilities management and other campus partners.
Collaborates with University Communications and Marketing to develop promotional/informational communications and pulls data from Raiser’s Edge software for mailing/emailing.
Manages data for annual Faculty and Staff Alumni Luncheon.
Serves on Homecoming Steering Committee.
Provides programming and administrative expertise for alumni programs and special events
Plans and implements alumni programs.
Composes, prepares and distributes program
- and event-related correspondence.
Maintains alumni community information and alumni volunteer records.
Handles logistics for on - and off-campus alumni events, including scheduling space, arranging for catering, developing marketing materials, mass mailings and e-mail blasts, and working with the Office of Advancement Services on event registration.
Manages regional alumni chapters
Recruits and trains volunteers to serve as chapter leaders.
Assists volunteers in planning regional events, including event promotion using Alumni Association resources.
Travels to regional alumni chapter events to provide support to volunteers.
Manages Legacy Program
Collaborates with the Office of Admissions on the student application form and with the Office of Business Intelligence and Data Management on Legacy student data reports.
Engages Legacy students during their time at Winthrop and plans annual Commencement celebrations and Orientation events.
Works with milestone (5
- to 45-year) reunion classes
Recruits and onboards volunteers and provides planning support.
Prepares class mailings and emails in collaboration with volunteers.
Manages planning meetings.
Manages and maintains data in Raiser’s Edge.
Manages alumni volunteers
Sends weekly campus news email to all alumni volunteers.
Hosts virtual quarterly meetings with alumni volunteers.
Plans annual Volunteers’ Conference.
The Associate Director also provides support for University Advancement events, including travel and logistical support, as needed, and assumes the responsibilities of the Executive Director in her absence.
Minimum and Additional Requirements
Bachelor’s degree in marketing, public relations or related field.
At least one year of experience in alumni relations, event planning, volunteer management and/or fundraising.
Knowledge of event and volunteer management.
Good grasp of English grammar and the ability to compose materials for publication.
Ability to work on a variety of concurrent projects.
Ability to collect and analyze data and present findings in a clear, concise manner.
Ability to exercise sound judgment and discretion when working with confidential information.
Ability to establish and maintain effective working relationships with faculty, staff, students, administrators, alumni volunteers, donors and the general public.
Ability to work flexible hours, including occasional evenings and weekends.
Preferred Qualifications
Master’s degree.
Three years of experience in event planning, volunteer management and/or fundraising.
Proficiency with Microsoft Office and database and Blackbaud or similar CRM software.
Previous related experience in higher education.
Additional Comments
Travel/Overtime Requirements:
Travel to alumni events, night and weekend events.
Telecommuting:
Employees are not eligible for telecommuting/remote work during their 12-month probationary period. After that time, certain positions may be eligible for telecommuting/remote work at the discretion of the supervisor and in accordance with Winthrop policies.
