Job Overview The Billing Specialist plays a vital role in ensuring the accurate and timely processing of billing and insurance claims for patients receiving durable medical equipment. This position works closely with the Billing Manager to manage payment records, resolve account issues, and communicate with customers and insurance providers. The ideal candidate is organized, detail-oriented, and committed to delivering high-quality work in a fast-paced environment. Key Responsibilities Customer Interaction Collaborate with customers to resolve billing inquiries and update payment information Respond to invoice and payment status questions with clarity and professionalism Initiate private pay collections when applicable Billing Management Submit claims and invoices to Medicaid, Medicare, and private insurers Follow up on denials, payment delays, and requests for additional documentation Post incoming payments and maintain up-to-date billing records Prepare and record cash receipts and credit card transactions Research and process returns, chargebacks, and other billing discrepancies Administrative Duties Maintain organized and accurate documentation for all billing-related activity File check stubs, receipts, and related documents as needed Assist with internal cash deposit preparation and special billing projects Support company initiatives aimed at improving billing operations Team Collaboration Work with team members and other departments to ensure efficient billing flow Participate in meetings, training, and process improvement efforts Additional Tasks Engage in ongoing training to stay current with billing and insurance regulations Contribute to system and process improvements within the department Assist the Billing Manager with special projects as needed Qualifications Must be able to work a flexible schedule as needed Education Associate’s degree or higher required Experience Minimum 3 months of experience in a healthcare billing or related office role preferred Familiarity with Medicaid, Medicare, and DMEPOS billing guidelines is a plus Ongoing training is provided to ensure compliance with current regulations Skills Proficient with computers, billing software, and CRM systems Comfortable using Brightree, Monday.com, and Microsoft Office (Word, Excel) Strong attention to detail and accuracy in a fast-paced environment Excellent time management and the ability to work independently Clear and professional verbal and written communication skills Able to handle confidential information with discretion Strong organizational skills and the ability to prioritize tasks Basic math skills, including working with percentages, ratios, and calculations Flexible and able to adapt to changing schedules or priorities Willingness to learn industry-specific products and procedures
