  • This job could be best described as a mix of scheduler and clinical coordinator. You will be working the clinic’s front desk and performing the usual duties of a receptionist as well as taking care of many other administrative and marketing duties
  • critical to the business operations.
  • PROMPT is the EMR system we use.
  • This is a part-time position.
Your hours are as follows:

Mondays 7:00 a.m. to 1:00 p.m., Tuesdays 2:00 p.m. to 7:00 p.m., Wednesdays 7:00 a.m. to 1:00 p.m., Thursdays 2:00 p.m. to 7:00 p.m., Fridays off. Here are the primary characteristics a candidate must have for this important role in our company:

  • Excellent communication/speaking skills are also imperative. Outside of greeting and chatting with patients, you will be responsible for taking and returning phone calls as well as making calls to other healthcare offices.
  • Finally, you need to know your way around the computer very well .

This does not mean you need to be able to write code or create a website or anything like that. You will need to be relatively tech-savvy so that training on various IT tasks goes smoothly and you are able to efficiently learn, navigate, and execute these tasks. Being successful in this position will involve:

  • Being the smiling “face” of the company
  • greeting and chatting with patients in the waiting area, getting them water as needed and scheduling future appointments
  • Cheerfully answering the phone and returning patient and prospective patient calls (you will be provided with scripts to guide many of your phone conversations especially with prospective patient calls. It is important you are open to coaching and guidance on how to manage and process phone calls, because in many ways you will be our frontline “salesperson”)
  • Creating and printing receipts/invoices
  • Understanding of HIPAA Laws and best practices
  • Proficient in accounting and data entry
  • Being a grammar, spelling, and punctuation champion when sending and responding to emails
  • Processing clinic emails
  • Filing paperwork
  • Faxing and scanning documents
  • Learning about the exciting world of social media and online marketing as well as implementing “direct response lead generation” marketing campaigns
  • ordering office supplies
  • creating and scheduling social media posts
  • ensure customers are billed correctly and timely for services offered
  • collaborate with front desk staff and primary biller to ensure accurate accounts receivable
  • create and send invoices to patients, lawyers, insurance companies, etc.
  • light cleaning of the clinic/office area
  • communicate with insurance companies and patients to dispute and/or explain claims as needed
  • Being pumped to have a job where people love you and value your presence every day and where your interaction with them can have a direct correlation with their health
  • Modifying policies/procedures as needed
  • assisting with creation of a procedural/systems book for ease of clinic operations and to help us scale the business as we grow
  • recording/documenting staff meetings
  • Working very efficiently and diligently at all the above with a desire to help progressively more people by growing the company and always improving on the service we provide.
  • Being AWESOME in general and proactively thinking of things that could make a huge difference to the way business runs
  • Understanding of and abiding by HIPAA and OSHA laws.

We will offer yearly training in this.
