The company has a diverse group of products sold in Medical, Veterinary and Aesthetics markets and is seeking a candidate for the position of Customer Care Specialist. The candidate must be a problem solver who is able to process all incoming orders and inquiries while working with commercial partners around the globe. The candidate must also be hands-on with strong analytical, verbal and written skills with the proven ability to work with customer care software systems.
Desired skills or experience:
- BS/BA with 2+ years in customer care, preferably in a regulated environment such as medical devices or pharma.
- Excellent verbal and written communication skills
- Preferred minimum 3 years’ experience with multiple software and system-based applications, including Microsoft Office Suite -Experience with Zoho or other CRM
- Strong team player
- Strong organizational and time-management skills and attention to detail
- Proactive/takes initiative
- Effective at problem-solving and being resourceful
- Proven Ability to deal with stressful situations and customers
PRIMARY RESPONSIBILITIES & TASKS
The Customer Care Specialist is responsible for processing all incoming orders while working with commercial partners around the globe.
Responsibilities include:
- Order entry, acknowledgement, confirmation, invoicing, processing payments and refunds for all product lines
- Communicate order status internally and externally, providing customer status reports as required
- Advocate for company and customers to meet confirmed/promised shipping dates
- Provide timely response to customer inquiries and liaise with internal and external partners as necessary to drive resolution
- Coordinate domestic and export shipments between customers and 3rd party fulfilment centers, freight forwarders, and carriers by providing necessary documentation and information. Obtain transport quotes as required.
- Process incoming EDI orders and invoicing and coordinate with 3rd party EDI partner including the on-boarding of new customer accounts
- Support fulfilment of Ecommerce orders (Amazon/Shopify, etc.)
- Entry of customer complaints in database and coordination with the Quality function
- Coordinate product returns related to customer complaints with Quality
- Monitor inventory of make-to-stock products held at 3rd parties and perform required transactions
- Coordinate with Finance the shipping of orders to maintain assigned customer credit limits
- Coordinate and monitor calls/activities from the Ring Central Call Center and serve as Ring Central Sales Team Responsibility
- Provide Sales Support by entering sales leads into CRM applications -Support field sales team with literature, trade show materials, supplies
