Healthcare Conversion Specialist – Patient Experience Team Trident Vein Center Spring Hill, TN 37174

General Summary of Duties:

Trident Vein Center is seeking a dynamic and compassionate Patient Experience Team Member to join our front-facing team. This role is crucial in guiding patients through their care experience, ensuring they feel supported, informed, and empowered to proceed with recommended treatments.

Essential Responsibilities:

Serve as a key point of contact for new and returning patients, offering education, reassurance, and guidance throughout their care journey. Proactively follow up with patients after consultations to answer questions and assist in scheduling treatment. Identify and address barriers to treatment through empathetic conversation and thoughtful problem-solving. Collaborate with providers, insurance teams, and schedulers to ensure a seamless and personalized patient experience. Track and monitor treatment conversions using internal tools and systems. Collect and post copays, daily charges, and past-due account balances from patients at the time of service. Answer all incoming calls, transfer them as appropriate, take clear messages, and respond to routine requests for information in a timely manner. Answer patient questions regarding appointments, procedures, physician qualifications, and Trident Vein Center background data. Regularly check and respond to clinic voicemail and email messages to ensure prompt resolution of patient needs. Build and maintain trusting, respectful relationships with patients through consistent and compassionate communication. Protect patient privacy by upholding all HIPAA and confidentiality standards Schedule, confirm, cancel, and reschedule patient appointments as needed in EMR. Review and explain out-of-pocket costs to patients after insurance processing, ensuring clarity and transparency. Initiate, follow up, and process pre-authorization or pre-determination for treatment approval with the patient’s insurance. Investigate the patient account balance or credit and coordinate with the practice manager on a plan of action on how to resolve. Ensure patients are prepared for their planned treatment by explaining and securing patient signatures on all needed consent forms. Attend and participate in TVC off-site marketing events. Travel:

Once fully trained, a rotating schedule of two-week increments at each clinic will be required. Clinic locations are in Spring Hill and Brentwood.
