5032 Position Vacancy Announcement Florida A&M University’s Office of the Controller is pleased to announce the acceptance of qualified applications for the Program Assistant vacancy. Responsibilities This position is a split position that is essential within the Travel Office and Document Imaging area of the Controller’s Office. The Program Assistant will be instrumental in ensuring the efficient auditing, imaging, and routing of all documents into the ImageNow imaging system per Florida Statutes 215.422 and 112.061, following prompt payment guidelines set by state law, and upholding the University’s travel policies and procedures. Ensures the timely and accurate processing of Non-Employee Travel Forms, Faculty/Staff Clearance Forms, and Complimentary Travel Forms; Responsible for staging and posting travel transactions to ensure payments are included in the vendor pay cycle; Assists with monthly Travel and Expense training sessions to include Travel labs; Provides high-quality customer service by promptly responding to and resolving inquiries and issues; Responsible for the intake of all invoices for the University Accounts Payable section of the Controller’s Office; Date stamp and pre-audit all incoming invoices to ensure no duplication of invoices in ImageNow, verify receipt of goods and services, and provide valid purchase orders; Scans documents and enter appropriate data in ImageNow properties to ensure accurate document retrieval and document type; Ensures quality assurance of documents (inspection of image quality and information) timely routing to Accounts Payable processors; Responsible for contacting vendors to obtain any outstanding invoices on monthly statements, returning invoices to vendors that lack a purchase order number, and emailing requestors to assist with invoice resolution; and other duties as assigned. Minimum Qualifications A high school diploma or equivalency and four years of related experience; or a combination of post high school education and experience equal to four years. Recommended Competencies Ability to apply Generally Accepted Accounting Principles (GAAP); Ability to perform accurately in a detail-oriented environment; Knowledge of the concepts, principles, and practices of financial data collection and report preparation; Ability to compile, review and reconcile complex financial data for accuracy, completeness, and compliance; Ability to communicate effectively, verbally and in writing; Knowledge of electronic data processing as it applies to fiscal and accounting activities; Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations; Ability to prioritize, organize and perform multiple work assignments simultaneously; and, Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices. Pay Plan This is an USPS (University Support Personnel System) position. Conditions of Employment Successful candidate is subject to a pre-employment screening which includes a review of criminal records, reference checks and verification of education.
