The position is responsible for complex clerical and administrative tasks for area of responsibility. The position works within a general outline of work to be performed; develops work methods and sequences under general supervision.
Essential Tasks:
The tasks listed below represent the majority of the time spent working in this position. Management may assign additional tasks as necessary. 1. Provides administrative and clerical support to HFF Executive Director, Assistant Director, and Senior Program Coordinator. 2. Gathers and maintains information to support periodic and special reports documenting departmental activities; assists staff with presentation materials and special projects including meeting materials as directed. 3. Provides administrative support to the HFF Senior Contract Specialist including tracking and entering data for ongoing quarterly and monthly deliverables; tracking, formatting, printing, and filing site deliverables; assists with contracts by formatting templates, numbering attachments, reviewing budgets and other administrative tasks as directed. 4. Sends reminders to HFF unit staff including timesheets, deliverables, and invoices. 5. Prepares, proofs, obtains approval for, delivers electronically, and files monthly DCF deliverables for HFF Contract #

Maintains HFF website databases, email groups, and project contact information. 7. Proofs all letters, documents, presentations, and reports. 8. Revises HFF Site map as needed using Visio. 9. Handles incoming telephone calls, answers questions, and resolves problems, and/or directs calls to appropriate personnel. 10. Schedules and secures locations for unit meetings. 11. Attends staff and other meetings; attends in-service training and technical or professional classes, seminars, or conferences to improve professional skills. 12. Creates and updates all internal and external contacts lists (advisory board, site contacts, fiscal contacts etc.). 13. Makes travel arrangements for unit staff and prepares travel reimbursement forms. 14. Prepares, copies, sends, and files correspondence to sites as needed. 15. Prepares, maintains, and tracks Participant Satisfaction Survey envelope distribution. 16. Posts all job openings received by HFF central office, HFF projects and others as they are submitted; receives resumes and applications, reviews, and schedules interviews for various vacancies within the HFF unit as directed. 17. Performs routine office tasks such as processing mail, typing, filing, faxing, phoning, and copying.
